The College of Biomedical Sciences is seeking (1) a dedicated and experienced Administrative Specialist – Academic.

HERE IS WHAT YOU WILL DO 

The ideal candidate for this position requires exceptional organizational skills, attention to detail, and the ability to effectively communicate with faculty, students, and staff. The Administrative specialist–academic ensures the smooth functioning of academic processes, assists in administrative tasks related to academic programs, and contributes to the overall efficiency of the academic department. 

The essential duties and responsibilities of the Administrative Specialist – Academic are the following: 


  • Assist the Assistant Directors of Undergraduate and Graduate Programs in refining the course curricula, collecting, analyzing, and interpreting multiple types of data related to the design and implementation of IBMS education programs.
  • Continuous assessment of enrollment data and projections, and credit hours assigned to IBMS courses and faculty.
  • Assist with the undergraduate enrollment process for the Institute.
  • Manage the classroom and seminar activities for undergraduate and graduate education programs.
  • Establish and maintain relationships with business and industry contacts critical to the educational experience.
  • Maintain undergraduate and graduate student records.
  • Maintain records of class and grade rolls.
  • Recruit graduate students by traveling to fairs and regional and national research conferences, conducting information sessions, and leading campus visits for prospective students. 
  • Manages the development of recruitment plans and materials. Attend undergraduate recruitment and/or orientation events on campus.
  • Manage the supplies and materials for undergraduate and graduate educational programs and activities.
  •  Continuous monitoring of support for student stipends, fellowships, and scholarships.
  • Provides academic and career advisement services to IBMS students.
  • Other duties as assigned Other duties as assigned

Qualifications

: 

Minimum Requirements:

  • Bachelor's degree and four years administrative experience; or High school diploma or GED and eight years administrative experience; or a combination of education and related experience.

Preferred Hiring Qualifications:

  •  Experience working with graduate and undergraduate education programs.
