Reporting to the Business Manager, the Administrative Services Officer I functions as part of the Administrative Business Operations Team and provides essential, advanced support for the Enrollment Management Unit, comprised of the Offices of Admissions, Enrollment Operations, Financial Aid, and Registrar. Responsibilities include performing detailed expense tracking and reporting, reconciling cost centers, reviewing and analyzing reports, assisting with budget monitoring and maintenance, providing direct administrative support to Unit leadership and staff, and interpreting and applying relevant policies and procedures to carry out assigned job duties.
Minimum Education and Experience
Bachelor’s degree and seven years of experience in a job at or above the level of Administrative Assistant or the equivalent combination of relevant education and experience; two of these years must be in a position with unit-wide scope.
Preferred Education and Experience
  • Two years of administrative or office management experience in higher education or other State institution environment
  • Previous experience with PeopleSoft FMS, HCM, and/or Time & Labor modules
  • Intermediate proficiency in Microsoft Office Suite, including Excel, Outlook, Word, and TEAMs
  • Experience or education in any of the following: basic accounting concepts and processes; understanding and monitoring established budgets and expense plans; interpreting, applying, and explaining policies and procedures
Essential Duties and Responsibilities
  • Review and analyze various system and external reports to support accurate cost center expense and revenue reconciliation; complete monthly reconciliation of assigned cost centers.
  • Review and reconcile all Enrollment Management Unit purchasing card reports and supporting documentation to ensure compliance with departmental budget plans and use of funds guidelines, in accordance with UT Dallas and UT System policies.
  • Participate in monitoring and maintaining selected operational budgets and cost centers by performing detailed review and tracking of anticipated, estimated and actual expenses.
  • Under direction of the Business Manager, prepare and submit designated budget actions, including IDT journals and budget transfers.
  • Remain abreast of a wide range of Enrollment Management Unit, UT Dallas, UT System, and State of Texas administrative policies and procedures; interpret, apply, and comply with all policies and procedures, and provide accurate and appropriate explanations, guidance, and training to Enrollment Management Unit employees to ensure compliance.
  • Develop, foster, and maintain strong working relationships with and provide exemplary support to approximately 200 full- and part-time Enrollment Management Unit employees, as well as various contacts across campus.
  • Document, maintain, review, and update departmental and unit administrative business processes and procedures, as needed.
  • Act as a liaison with various administrative offices, including Budget Office, Accounting & Financial Reporting, Financial Management Services, Payroll, Purchasing, Accounts Payable, and Human Resources.
  • May provide calendar management, meeting coordination and scheduling, event planning, and project and research assistance for Unit leadership, as needed.
  • Actively participate as a member of the Enrollment Management Administrative Business Operations Team to recommend and implement new business processes as well as updates and improvements to existing departmental administrative procedures.

Remote Work Notice
Following successful completion of an initial training period, a hybrid work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be cancelled.
