Job Summary

The Administrative Officer will support the operational functions under the supervision of the Parnassus Site Manager.  This position uses professional concepts to apply organizational policies and procedures to oversee a variety of ongoing administrative operational issues. The Administrative Officer is assigned a variety of tasks and projects and is responsible for providing and coordinating a range of day-to-day administrative, financial, and other duties to support the Research, MI&T, Emergency Radiology, DEI Committee & other clinical sections as needed by the department at the Parnassus campus to ensure smooth functioning of the administrative activities. 

This position requires a high level of independence and autonomy and will be expected to learn and understand the institutions’ policies (UCSF, UC Medical Center, and other foundations and organizations) to resolve issues and implement departmental policies for activities. This position is a hybrid position which allows 3 days working from home and 2 days working primarily at the Parnassus Campus within the Department of Radiology & Biomedical Imaging.

Department Description

The Department of Radiology & Biomedical Imaging is one of the largest departments within the School of Medicine, generating more than $40 million in professional fee revenues each year, and submitting grant proposals resulting in $30-40 million of awards each year. More than 90% of the MD faculty in Radiology is based at the Parnassus Campus, including nine of the ten clinical sections and their chiefs, and five of the seven vice chairs. The department has significant clinical and research operations at China Basin, Mission Bay, the VAMC, ZSFG, and Mount Zion. It includes more than 150 academic personnel and approximately 225 staff FTE. In addition, there are more than 90 resident, fellow, and graduate student trainees.


Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum of one year of related experience
  • Highly proficient working with Microsoft Office Suite (MS Word, Excel, PowerPoint), Adobe Acrobat is required to execute job responsibilities under very tight deadlines. Incudes the proven ability to develop spreadsheets, reports, and independently draft correspondences and create PowerPoint presentations
  • Prior experience organizing meetings, including travel arrangements, logistics and expense reimbursement
  • Prior experience with writing memoranda, correspondence, reports and producing written documents with clearly organized thoughts utilizing the appropriate grammar, sentence construction and punctuation.
  • Demonstrated ability to work on multiple projects from conception to implementation while maintaining a highly service-oriented demeanor.
  • Proven ability to function and participate effectively as part of a collaborative team
  • Ability to use discretion and maintain confidentiality, and use sound judgement in responding to issues and concerns.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Demonstrated abiility to develop working relationships within department and colleagues.
  • Ability to use sound judgment in responding to issues and concerns.

Preferred Qualifications

  • Working knowledge of common organization-specific and other computer application programs. Ability to troubleshoot and triage related technology issues.
    • Zoom Conferencing or other web conferencing systems
    • Smartsheets
  • Knowledge of UCSF Accounting and School of Medicine policies/procedures on travel, meetings, and entertainment; expenses, purchasing and vendor payments.
