Occupational Summary

Direct complex activities, projects and programs while providing strategic assistance to the Chief of Staff (COS) in the day-to-day operations of the Provost’s office. This includes but is not limited to the organization and implementation of critical priorities, initiatives, and activities, as directed by the COS. This position requires the ability to manage a team and execute multiple priorities on time. He/she/they will collaborate with faculty and staff across the university on a variety of initiatives and projects. The nature of this work requires a high degree of independent judgment, tact, and discretion.

Work Performed

Assist the COS with the development and implementation of Provost’s Office initiatives and strategic plans.

Assist the COS in the timely preparation of daily briefing materials provided to the Provost in matters concerning university initiatives, strategic plans, and status meetings.

Analyze business processes, offer improvement suggestions, and provide structure to repetitive processes that are managed by the Provost’s Office, such as committee meetings, board meetings, senior leadership position recruitment and hiring, faculty committee appointments, management and reconciliation of expenditures and budgets for events, projects, programs and operating expenses within the Provost’s Office annual reviews, and administration support.

Manage the flow of information between the Provost's Office and the deans and directors across the university.

Conduct research for strategic long-term planning. Work across university departments to better understand the diverse perspectives, needs, and goals that are critical for success.

Support Provost’s Office initiatives and committees by conducting research, providing meeting support, coordinating follow-up actions, and creating status reports.

Assist the Provost and COS in their capacity as Chair and Secretary of the Duke Kunshan University Board of Trustees, respectively.

Assist the COS in the hiring of senior leaders, including the organization and management of search committees, as well as staff in the Provost’s Office.

Supervise and coordinate the work of the departmental support staff.

Represent the COS in meetings and events of an administrative nature as needed.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level


Education/Training:

Work requires the general knowledge gained through a master's degree.


Experience:

Work requires at least six years of experience in an administrative and/or business setting, preferably in higher education. Demonstrated leadership in a fast-paced environment.

Minimum Qualifications
Education

Work requires a Bachelor's degree in Business Administration, Hospital Administration, Accounting or a closely related field.


Experience

Work requires a minimum of nine years progressively responsible OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE experience in administrative management, to include proficiency in budgeting, grants and contracts, personnel supervision and space and facilities management. A Master's degree in Business Administration, Hospital Administration, Accounting or a closely related field may substitute for two years of required experience.
