Posting Summary
Rutgers School of Health Professions (SHP) is seeking an Administrative Coordinator to work in the Dean’s Office.  The Administrative Coordinator will provide high level administrative support to the the leadership in SHP Dean’s Office and project coordination for school-wide events and projects as assigned.
Essential duties and responsibilities include the following:
  • Manages the day-to-day operations and logistics of the SHP Dean’s Office.
  • Oversees administrative implementation of continuing education efforts, supports renovations and redesign projects, provides support to the RBHS food pantry and other community service initiatives, and school-wide events.
  • Manages complex calendars for the Dean, Sr. Associate Dean, and others, as assigned; organizes activities, sets up meetings, interfaces with the Chancellor’s office on their behalf.
  • Works with University systems such as Concur, Expense Management system to process travel, reimbursements.
  • Serves as the Dean’s Office liaison/central point of contact between SHP Dean’s Office, SHP Academic and Administrative Department, RBHS and RU Central Administrative Units.
  • Coordinates and maintains Office operations including maintaining office equipment, ordering supplies and materials, mail distribution, and submitting maintenance requests. 
  • Makes suggestions on methods for improving operations/workflow, as necessary.
  • Interfaces with Faculty, Staff, Students as a representative of the Dean’s Office. 
  • Responds to requests/inquiries and keeps Senior Management abreast of all updates.
  • Provides main front desk support includes answering the telephone, triaging calls, greeting visitors.
  • Understands and adheres to Rutgers’ compliance standards as they appear in RBHS’s Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
  • Performs other related duties as assigned.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree plus two (2) years of administrative experience in a government agency, university setting or large business office with responsibility for office management, preparation of reports, supervision of staff, etc. 
  • Equivalent experience, education and/or training may be substituted for the education requirements

  • Must be proficient in computer applications as required by the department.

  • Bi-lingual highly preferred.

Immunization Requirements


Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are vaccinated against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.
