This position represents the first point of contact for the front office and provides the majority of tier-I support for those contacting the Office of the Registrar. Responsibilities include items such as monitoring phones, email, and live chat, as well as a wide variety of routine requests and standard office support duties. The Lehigh community takes seriously our commitment to antiracism and The Principles of our Equitable Community.

This position is a Grade: 7-37.5 with an approximate salary range of $36,090-$43,330 and is subject to change based on experience, skills and qualifications

1. Department Administration and Support
*Responds to various requests, often requiring knowledge of the University as a whole, in a timely manner
*Serves as the first point of contact for responding to email, voice mail, live chat, and in-person requests efficiently and effectively; collect and distribute office mail
*Greets all guests ensuring all feel welcomed and part of the community
*Offer general information, assistance, and direction regarding services, processes, and procedures; refer complex situations to others with the appropriate expertise
*Provide timely, accurate and consistent information; resolve routine and nonroutine problems in a thorough and timely manner
*Assist departmental visitors with paperwork completion in accordance with University procedures and policies
*Maintain the highest level of confidentiality with all clients and adhere to the Rules and Procedures of the Faculty
*Works regularly and professionally with external and internal partners on various administrative issues; treats all with goal of creating an equitable and inclusive working relationship

2. Enrollment and Degree Verifications
*Evaluate and respond to all degree and enrollment verification inquiries submitted from external agencies through the National Student Clearinghouse within 2-3 business days
*Complete all enrollment and degree verification forms submitted from internal departments and outside organizations
*Utilize the Argos reporting tool to provide students with immediate service in response to enrollment verification requests
*Generate letters needed to provide notarized verification of diplomas and degrees awarded

3. Update Grades and Maintain Academic History
*Review and record grade changes, including Removal of Incomplete forms and Correction of Grade forms
*Contact faculty and/or students to resolve problems related to grade submissions
*Recalculate academic records and monitor resulting GPAs that may result in changes to academic standing
*Notify Dean of Students Office of Dean’s List additions resulting from grade changes
*Manage student Pass/Fail requests: verify eligibility, grant approval, and adjust student records

4. Administrative Support
*Process course withdrawal requests as submitted by students
*Facilitate the replacement diploma ordering process for alumni, ensuring accuracy of names, degrees, and mailing addresses; troubleshoot problems with diplomas in conjunction with the student and the diploma vendor
*Work with sensitive or confidential information pertaining to student records
*Perform standard procedures associated with ordering, receipt, and storage of office supplies
*Process name and personal information changes in Banner upon receipt of required documentation
*Record receipt of documents received in the office and image documents as needed to ensure accuracy of student records
*Provide back-up support for transfer credit-related inquiries, graduate transcript verifications, and document imaging
*Review requests to reserve classrooms for academic events using room reservation software; respond to inquiries promptly and redirect requests as needed
*Support University Registrar and office staff by scheduling appointments, managing calendars, and scheduling meetings as needed
*Assist other staff as needed with daily operations, heavy workloads, and special projects to keep the department or office functioning smoothly and efficiently

5. Lehigh Transcript Processing
*Issue official transcripts utilizing third party service and Banner to fulfill student requests
*Maintain the National Student Clearinghouse storefront and corresponding department webpage content for updates to information concerning the process for ordering transcripts
*Provide documentation, instruction, and training on the use of transcript ordering service
*Serve as the direct point of contact for all transcript inquiries from external agencies, including the National Student Clearinghouse

Qualifications

High school diploma or the equivalent combination of education and experience; Associates Degree in Business preferred

One to three years related work experience

Excellent communication and interpersonal skills

Demonstrated excellent writing and editing skills with strong attention to detail

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
