Job Description
Purpose:
The Administrative Coordinator II works under general supervision and coordinates administrative support for a unit or specialized activity to include the exercise of discretion and independent judgment with respect to matters of significance.
Responsibilities:
30% Administration
- Coordinate various administrative support functions, including planning and executing administrative activities and services. Serve as the backup for the assistant to the department head, assisting with calendaring and communications.
20% Office Management
- Manage conference room and parking reservations. Oversee office supplies and equipment maintenance, suggesting improvements and implementing administrative changes. Act as the primary department parking representative (DPR) and oversee breakroom and equipment maintenance.
30% Projects & Events
- Plan and coordinate administrative activities, including travel booking, expense reports, and reimbursements for faculty leadership and guests. Monitor project timelines, identify issues, and provide solutions. Provide logistical and administrative support for lectures, meetings, events, or other special functions.
10% Supervise
- Supervises, trains, and evaluates the work of front desk student workers.
10% Other Duties
- Be adaptable and willing to cross-train to fill in during understaffed periods.
- Other duties as assigned.
What we need:
- Bachelor's degree or equivalent combination of education and experience.
- Three years of related experience.
What is helpful:
- Experience in administrative roles, preferably within an academic or higher education environment.
Knowledge, Skills, and Abilities
- Strong organizational and multitasking skills are crucial, as are excellent written and verbal communication abilities.
- Proficiency in office software and tools, particularly the Microsoft Office Suite, is expected.
- Capable of working both independently and collaboratively, adapting to shifting priorities and deadlines.
Other Requirements:
- The candidate must be willing to travel occasionally and be available to work evenings and weekends as needed. Due to the nature of the job, a standard 8-5 work week is required.
- This role may require occasional travel and work beyond standard office hours to meet the demands of the position.
