Position Summary
This position provides general administrative coordination of various tasks and projects in the Department of Ophthalmology and Visual Sciences. Working Closely with the Manager Financial Operations to support in daily operations and future project planning.
Job Description
Primary Duties & Responsibilities
- Coordinates and performs daily tasks to ensure functioning of administrative office. Assists in development/coordination of programs/projects.
- Assists with Workday entries, tracking and reporting; maintain online systems entry of documents, updates, and reports involving clinical policies, professional liability; tracking compliance of HIPAA, Vaccine, FCOI, and FDS Â
- Creates and tracks external invoicing and accounts receivables, purchasing, budgeting, etc.; may approve financial documents such as check requests, journals, purchase orders, travel documents, etc.
- Assists with updates to departmental share drive and Smartsheets.
- Coordinates, manages, and updates communications for department including verbal, written and electronic communications and websites which may include initiating/reviewing drafts of various communications.
- Provides some general administrative support including scheduling appointments, meetings and travel arrangements.
- Performs other duties as assigned.
Preferred Qualifications
- Intermediate computer skills including knowledge of computer applications and programs including Word, Outlook, Excel, PowerPoint and Access.
- Good organizational and interpersonal communication skills to deal effectively with a broad and diverse range of people.
- In-depth knowledge of office procedures.
- Accuracy and attention to detail.
- Previous experience with Workday and Smartsheets.
- Bachelor's degree or some academic administrative experience.
Required Qualifications
- High school diploma or equivalent high school certification.
- Two years of administrative office experience.

Salary Range
$18.91 - $29.32 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
