Primary Duties and
Responsibilities:
 

Position purpose: 
The Administrative Coordinator of the Creative Arts Collective for Christian Life and Faith will provide project and administrative support for the Executive Director as well as the Collective staff as a whole. This position will support the team through numerous administrative, clerical and office duties. This person will be a vital member of the Collective team, requiring a self-motivated individual dedicated to the mission of the Collective and who supports the team's overall needs.  
Essential Functions: 

  • Provide overall administrative support to the Executive Director and full team (as needed) including scheduling meetings, managing calendars, preparing agendas, briefings and reports, onboarding new employees, and coordinating travel as needed
  • Assist and coordinate events, board meetings, team meetings, VIP travel, including booking spaces and catering associated with events
  • Perform routine office tasks, including copying, digital filing, ordering office supplies and other administrative duties as needed to ensure the smooth operation of the Collective
  • Facilitate and assist with purchasing, time sheets, reimbursements, and other budget needs
  • Serve as the primary contact for internal and external constituencies including fielding incoming calls and inquiries as a first point of contact including handling Collective emails from the website
  • Coordinate the work of the Imagination Scholars in partnership with the Sr. Fellow and Executive Director
  • Assist in maintaining and updating Collective’s integrated database, BANNER/salesforce as needed including pulling reports
  • Maintain necessary paperwork in compliance with university and grant policies

    Required Education Bachelors required.
      
    Required Experience 2-3 years office or administrative experience preferred
      
    Working Conditions & Physical Requirements The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
