Position Summary
Full-time position available on or after May 6, 2024 in Campus Recreation.
Under the general direction of the Director of Campus Recreation, the Campus Recreation Coordinator is responsible for the operations of the Stockton Campus Recreation Program. Administrative Support Coordinators are distinguished by the administrative nature and scope of support work performed and/or ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. Administrative work is typically operational or procedural in nature relating to the program, office, or projects. Work is often of a project nature and may require specialized knowledge. Typically, incumbents are responsible for the full scope of project activities including initiation, execution, coordination, implementation, and evaluation. Incumbents may coordinate the office support for an entire academic, special program or administrative office, or for an administrative head to one of these offices.
Incumbents are expected to use general office equipment and a full range of office support technology and systems including: one or more word processing and spreadsheet packages; use of a mainframe computer and on-line systems to enter data and generate reports; maintenance of desktop databases; and use of electronic and voice mail. Some positions may require the use of desktop publishing packages with graphics capabilities.
Job Duties
Duties include but are not limited to:

  • Oversee daily operations and ensure programs align with organizational goals.
  • Develop and update policies, procedures, and documentation.
  • Coordinate entire clerical and administrative support functions, including evaluation and recommendations related to operational and procedural matters.
  • Manage large scale, complex projects with broad, visible impact, involving coordination with other departments.
  • Prepare and present reports on program accomplishments and outcomes.
  • Provide leadership and direction.
  • Manage recruitment, hiring, and training processes.
  • Ensure operational efficiency and adherence to guidelines.
  • Maintain inventory and oversee maintenance requests.
  • Facilitate meetings and participate in committees as required.
  • Make independent decisions on day-to-day operations, interpreting and applying specialized policies and procedures.
  • Handle a broad range of operational and procedural office and administrative problems, requiring research, analysis, and ingenuity in developing solutions.
  • Troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Use office software packages, technology, and systems.
  • Analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Develop and implement communication strategies.
  • Coordinate promotional activities and events.
  • Liaise with internal and external stakeholders to enhance program visibility and engagement.
  • Interact at the highest levels within and outside the organization, often in sensitive interpersonal situations.
  • May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards.

  • At the direction of appropriate administrator, may provide support to other departments withing functional area as needed.

    Minimum Qualifications
    Education: Education: Completion of a high school program, technical/vocational program, or their equivalents.
    Experience: Several years of related office work experience.
    Preferred Qualifications
  • Two (2) to three (3) years of office or related work experience.
  • Prior experience in a higher education or university recreational sports setting.
  • Previous experience working in a student services office within a university or educational setting.
  • Experience providing lead work direction to employees.
  • Experience with maintaining business website and various social media platforms.
  • Experience working with diversity, equity and inclusion initiatives.
  • Experience working with underrepresented minority populations.
  • Experience utilizing MS Office and other software (Word, Outlook, Access, Excel, PowerPoint, Concur, PeopleSoft, Adobe Suite, 25Live, Fusion, When to Work etc.)
    Knowledge, Skills, Abilities
  • Experience to be fully functional in all technical aspects of work assignments.
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems and expertise in using office software packages, technology and systems. May function as the office information technology specialist. Ability to use and quickly learn new office support technology systems and software packages is a prerequisite.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to interpret and apply a wide variety of policies and procedures independently, and use judgment and discretion to act when precedents or specific guidelines do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operations and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Working knowledge of budget policies and procedures.
  • Ability to perform business math, such as calculate ratios and percentages, track and analyze financial and/or budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.
    Special Conditions
  • Ability to work a flexible schedule (after hours, evenings and or weekends), including campus event as needed.
  • Ability to drive to and work at the Turlock campus as needed.
    License or Certifications
  • Valid California driver's license.
    Salary Range
    Anticipated salary will be $3,865 - $4,252 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full range: $3,865 - $6,336 per month)
