Position Overview

The Office of Economic Development (OED), reports to the Office of the Chancellor and works across KU’s campuses, assisting academic and research connectivity between civic and community organizations, industry and corporate partners both as startups and through Fortune 100.  The OED is responsible to develop relationships that provide the foundation for both informing and furthering partnerships between university faculty and departments of needs and interests that may range from workforce to research to innovation.  The OED works across all of KU’s academic units and research centers supporting a mission of enhancing regional impact, this includes interacting with students, faculty and staff across the university.  The OED builds relationships and partnerships with external stakeholders in support of this mission of regional economic impact. 

The Administrative Associate Sr. is part of the Office of Economic Development and provides high-level assistance to the Associate Vice Chancellor as well as the economic development team. The Administrative Associate Sr. is responsible for providing calendar support, managing travel arrangements, overseeing departmental financial management, support of OED events and various other project support.

Job Description

70% Administrative Office Support

  • Serves as Assistant to the Associate Vice Chancellor and coordinates calendars and schedules for the Office of Economic Development team. Uses discretion to prioritize meeting requests, scheduling appointments and communications.
  • Prepares correspondence and initiates actions to resolve calendaring issues and other office related matters. 
  • Works independently to follow-up on outstanding items to ensure timely completion of assigned tasks.
  • Plans travel itineraries, submits travel authorizations, reconciles travel expenditures, prepares and submits travel expenditure reports in accordance with university policy.
  • Manages department p-card activities, reconciles expenditures and processes paperwork in accordance with university policy.
  • 20% Special Projects, Event Support, and Outreach

  • Assists with special projects to prepare and disseminate documents, reports, assembling materials/packets, copying, tracking activities etc.  Utilize Microsoft Office Teams and SharePoint for document sharing as appropriate to manage projects.
  • Provides administrative support for periodic outreach activities associated with the OED.  This may include campus visits by external stakeholders, workshops, conferences, and other events. Activities would include scheduling meetings, coordinating across campus units relative to space, catering, parking and other needs as appropriate.
  • Works independently to handle projects that impact the organization by collaborating with internal and external entities on behalf of the Office of Economic Development.
  • Coordinates with various constituents and committees to ensure proper meeting attendance, preparation of materials and to meet various internal timelines/deadlines.

  • 10% Other Duties as Assigned

    Required Qualifications

  • Bachelor’s degree or HS diploma and/or GED with four years of administrative professional experience.
  • Experience working in an environment requiring computer skills including Word, Excel, Teams, Zoom and SharePoint.
  • Demonstrated experience with handling and resolving problems, using independent judgment, and gaining necessary knowledge to resolve problems as identified through the application materials, interview and references.
  • Excellent written communication skills as demonstrated by application materials.
  • Excellent organizational skills and strong multitasking skills as evidenced by prior work experience or references.
  • Excellent attention to detail as evidenced by application materials, prior work experience, or references.
  • Experience handling sensitive and/or confidential material with discretion as demonstrated by related experience / work history.

  • Preferred Qualifications

  • Demonstrated familiarity with KU policies and online systems as evidenced by application materials and interview.
  • Experience in coordinating seminars, conferences, events and/or award programs.
  • Experience in supporting a senior executive.
