PURPOSE

Works under the supervision of the Chair for the Department of Theatre & Dance and provides advanced administrative support work for the faculty and Chair in this department.


RESPONSIBILITIES

  • Front-line point of contact for the Department of Theatre & Dance. Answer calls to the department and greet students and visitors to the department.  

  • Schedule meetings and maintain calendars for the department chair.

  • Prepare department course schedules in Banner and process reports from Argos.

  • Create Workday documents for the hiring of student workers, graders, and adjuncts.

  • Confirm faculty textbook adoptions.  Receive and review all faculty syllabi for submission to the Dean’s office.

  • Hire, train, evaluate and supervise department student workers.

  • Maintain the records and activities for faculty searches.

  • Assist with departmental fiscal activities, such as purchasing, Pcard, and reconciling accounts using advanced spreadsheets and/or databases.  Order office supplies.  Keep department chair informed and updated on account activity and balances. Fiscal responsibilities include department accounts and five main stage productions, UIL, one act play festival, two dance demos, and scholarship fundraisers.

  • Prepare copyright applications for theatre.

  • Arrange and/or assist departmental travel (faculty, student, incoming guests) using Concur. Schedule all travel, car rentals, hotels, conference registration or other travel needs for office personnel.  Prepare travel requests and expense reports.

  • Assist in the process of catalog and course description revisions.

  • Assist faculty and department chair with organizing special events.  Assist with coordination of purchasing, ordering food, campus announcement, invitations and registration for each event.

  • Assist in the preparation and processing of catalog and course description revisions.

  • Produce weekly programs from information submitted by faculty.

  • Create reports as needed from Digital Measures for Department Chair and Dean’s Office.

  • Maintain department copier and order toner for both copiers.

  • Enter permissions in Banner for all majors (each semester).

  • Submit work orders as needed for maintenance.

  • Schedule rooms in Astra for special events and rehearsals.

  • Other duties as assigned.

WHAT YOU WILL NEED

  • High School Diploma.

  • Four (4) years administrative support experience.

  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).

  • Excellent written and verbal communication skills. Listens intently and gets clarification where needed.  Positive attitude.

  • Ability to work independently and efficiently with minimal supervision (self-motivated).  Ability to work in a fast-paced environment.

  • Excellent attention to detail. 

WHAT THEY WOULD LIKE TO SEE

  • Two (2) years office management experience.

  • Advanced skills in Publisher (or other desktop publishing software) and Adobe.

  • University experience.

  • Experience in Banner, Argos, Ad-Astra, IslanderBuy, Laserfiche, and Workday.
