The University of Notre Dame (ND.jobs ) is accepting applications for a Administrative Assistant.
Applications will be accepted until 06/03/2024.
The Administrative Assistant plays a key role in the Department of Applied and Computational Mathematics and Statistics . This individual serves as the first point of contact for those visiting the department. Reporting to the Department Administrator, the Administrative Assistant's top priorities will be to:
  • Coordinate colloquia, seminars, and lecture-series for the department
  • Provide administrative support to the Director of Undergraduate Studies (DUS)
  • Monitor and assist with registration, including processing eForms, scheduling advising meetings, helping to resolve course-related issues, administering crosslistings, and assisting with room and schedule changes
  • Assist with the coordination of various events for undergraduates, including the graduation ceremony and reception, and undergraduate-related talks
  • Collect syllabi and course descriptions from instructors
  • Assist faculty with exam printing, exam retention, scheduling rooms for exam grading, scheduling makeup exams, and related tasks
  • Work with faculty coordinator on summer research program
  • Verify graduation list of ACMS majors, ACMS honors, and concentration
  • Manage and maintain departmental room reservations, supply inventory, office equipment, and bulletin boards
  • Collaborate with the other department staff as a team to support the overall needs of the department
  • Other duties as assigned

Minimum Qualifications:
Education and Experience:
  • High school diploma or GED (or equivalent)
  • 1 - 2 years of administrative experience
  • Experience with Google applications (Gmail, Calendar, Docs, Sheets, Forms, Slides) and Microsoft Suite (Word, Excel)

Skills:
  • Excellent organizational and communication skills
  • Ability to respond to multiple tasks and questions with frequent interruptions
  • Must be self-motivated, take initiative, be able to prioritize tasks, and learn quickly
  • Must be able to maintain the confidentiality of student files and departmental issues
  • Excellent interpersonal abilities
