Duties and Responsibilities:

The Administrative Assistant (AS) will provide office support for project activities including: scheduling and payment of salaries and stipends for project personnel and participants, monitoring expenditures and reconciling the budgets; assisting in completing purchase orders for books and supplies, computer software/hardware; developing informational materials and assisting project faculty and participants with routine and procedural questions; and using general office and technology systems including word processing, spreadsheets, and communication tools.

The AS will be responsible for coordinating site activities for both Project Directors and Evaluation Team. The AS is expected to coordinate work efficiently and independently, troubleshoot project activities as needed, effectively collaborate with the Directors and Project Teams, and handle sensitive situations with discretion. The AS is expected to be creative and resourceful, analyzing operational and procedural problems and developing and recommending solutions.

Qualifications:

Within the Writing Project, time is spent doing this:

  • Prepare and update budgets, monitor expenditures, and prepare financial reports for granting agencies. Submit additional pay and travel authorization/expense reports for faculty; prepare/submit pay or stipends for workshop and institute presenters. Update database and handle site reporting. Coordinate in-person workshops and events; room reservations, purchase of food and supplies, etc. Monitor site’s email and respond to requests for information. Process monthly P-Card report.

Within the ACT Program, time is spent doing this:

  • Prepare and update budget, monitor expenditures and prepare reports for granting agency. Submit additional pay for faculty and prepare and submit stipend payment paperwork for mentor teachers. Update multiple databases. Supply ACT students with class and permission numbers. Coordinate in-person events: room reservations, purchase food and supplies, etc. Monitor site’s emails and respond to requests for information.

Knowledge, Specialized Skills, and Abilities:

  • Thorough knowledge of correct English grammar, spelling, and punctuation; and office methods and basic filing systems procedures and practices.
  • Ability and specialized skills to: organize, coordinate, and prioritize multiple tasks; learn, identify, and independently interpret and apply a variety of complex policies and procedures; investigate, analyze, and resolve routing clerical problems; work in a busy environment with frequent interruptions; communicate effectively both orally and in writing; prepare and draft memoranda and correspondence; keep moderately complex budgets, records, and files; establish and maintain cooperative working relationships; operate standard office equipment; and software.

Pay, Benefits, & Work Schedule

This position is employed through The University Corporation (TUC).

The anticipated hiring range: $20.22 - $29.76/hour

Full Pay range: $20.22 - $29.76/hour

Time Base: Full-Time
