Job Description

This position provides high level administrative support to the Dean of Messina College.

Messina College is a new two-year residential college division of Boston College that will offer an Associate’s degree program for 100 first-generation and low-income students annually beginning in the 2024–25 academic year. The program’s goal is to prepare students to enroll in a bachelor’s degree program or begin their professional careers. Messina College students will live and study on the Brookline Campus of Boston College and have full access to BC’s facilities and programs.

This position requires a self-starter with highly developed communications skills (diplomatic and interpersonal). The incumbent must have the ability to work and interact with a diverse community and demonstrate a high degree of flexibility, cooperation, and willingness to assist with all projects, academic programs, events, and related matters. He/she must be able to set priorities, identify and execute assignments without daily supervision, deal with multiple time-sensitive interests requiring the Dean’s attention and take steps to resolve issues appropriately and within the scope of his/her authority.

The Administrative Assistant works with the Dean to execute the work of Messina College and must be extremely well organized and detail oriented. He/she must have the ability to clearly see the “big picture,” determine priorities and multi-task simultaneously in a fast-paced environment.

The incumbent also manages the budget process, prepares expense reimbursements, requisitions for payments to vendors, orders office supplies, assists with maintaining and updating database(s), and organizes data, reports, and other meeting materials and information either personally prepared or received from others. The Administrative Assistant will also prepare correspondence from the Office of the Dean and other documentation and make travel arrangements. He/she will handle confidential information.

He/she serves as an information source to visitors and callers using his/her judgment, knowledge of office operations and interpretation skills.

Full-Time Equivalent Hiring Range: $52,800 to $66,000; salary commensurate with relevant experience.

Requirements

Minimum of an Associate’s degree with a high degree of proficiency in MS Office (Word, Excel, PowerPoint), Google applications, email and Internet skills. Experience with People Soft HR and People Soft Financials is a plus. A minimum of five years of increasingly responsible administrative support experience, ideally in an educational environment.
