The School of Dentistry Department of Cariology Restorative Sciences and Endodontics is seeking a highly motivated, organized and skilled individual to join our team as an Administrative Assistant Sr. to perform diversified and confidential administrative and secretarial duties. This position requires broad general administrative support experience and knowledge of university policies and practices, and will partner with a team to provide high-level support for the chair, associate chair, business administrator and others as assigned. Tasks will include calendar, committee, event, meeting, and travel support. This position will also provide general administrative support for the office. This includes various tasks such as performing reception duties, processing incoming and outgoing mail, organizing supplies, scheduling, preparing, and confirming conference and meeting rooms, and other miscellaneous projects and duties as assigned. Because this position serves in part as the first point of contact when you enter the administrative office suite, the schedule will generally be in the office, with one day of remote work per week.

Perform advanced, diversified and confidential administrative and secretarial support for assigned CRSE Leadership and others as directed. Tasks will include:

  • Managing the chair's calendar, travel and other arrangements,
  • Schedule meetings
  • Maintain committee assignments for department
  • Gather and prepare information for reports
  • Prioritize work assignments and programs
  • Write general correspondence
  • Recording meeting notes and prepare agendas materials
  • Maintain various filing systems
  • Maintain databases and spreadsheets
  • Coordinate specific department events, continuing education courses and post graduate program

Additional responsibilities include:

  • Support the department's academic mission by assisting with ad hoc faculty committees and faculty affairs
  • Coordinate faculty re-appointments, promotions and annual reviews and scheduling interviews to coordinating department orientation
  • Coordinate clinical credentialing and international scholar processing and onboarding
  • Lead and/or assist with event logistical support for virtual and on-site programs including room reservations, set up and clean up, meeting materials, catering orders, and other support as requested by event lead.
  • Assist in recruiting, hiring, and processing for new faculty, research assistants, visiting scholars, post grads, etc.
  • Utilize discretion and appropriate judgment, diplomacy, team spirit attitude, and follow­ through in providing general support.
  • Other duties and projects as assigned.
  • Four years of broad and progressive administrative experience performing advanced, diversified and confidential duties.
  • HS Diploma or equivalent
  • Proven ability to work professionally and serve as a representative of the office with discretion.
  • Ability to work in a fast-paced and collaborative environment.
  • Ability to work flexibly and independently, set priorities, work simultaneously on numerous tasks, use good judgment and initiative
  • Ability to meet deadlines.
  • Possess strong interpersonal, verbal and written communication skills.
  • Friendly, dependable, and professional with a welcoming personality.
  • Have a proven record of good attendance, strong attention to detail, deep dedication to customer service, and a team approach to work.
  • Possess exceptional office technology skills including Microsoft products, virtual platforms
  • Strong willingness to learn and master new technologies as needed.
  • Associates degree, experience working in higher education and with university systems;
  • Knowledge of clinic operations in a higher education setting;
  • Ability to maintain cross-departmental relationships throughout the organization;
  • Computer experience and Google Suite (Google docs, Google sheets and Google calendar).
  • Knowledge/experience in M-Pathways procurement (P-Card reconciliation, Marketsite ordering, purchase orders, running M-Reports, etc.). 
  • Previous Dental School experience.
  • Experience in an EHR system, UM systems, Axium. 
  • Experience and familiarity with coordinating reappointments, promotions and annual reviews 

This position is one year term limited, with the possibility of extension.
