Administrative Assistant

Job Summary

As a member of the Biological Sciences administrative assistant team, you will provide high level administrative support to the department faculty, laboratory coordinators, postdoctoral associates, laboratory technicians and students in an academic, research and scientific environment. 

 

In this role you will also work independently to perform routine duties that supports the daily operations and workflow of the HANS copy center.  This includes setup and operations of duplexing/copier machines.  You will ensure regular and preventative maintenance is performed on all equipment, handle customer inquiries an troubleshoot issues, and process and distributes and track mail and packages in two buildings.  You will track supply inventories and order copier and office supplies through Ariba.  You will also reserve university vehicles for faculty offsite trips. This position will perform non-routine functions, exercising discretion with activities such as coordinating events, making travel arrangements and submitting reimbursements using the Concur system.  You will also arrange seminars and workshops itineraries, ordering meals and creation of fliers.  You will assist faculty and departmental instructors with their research programs and courses in Brightspace, and assist in the assignment of duties and the supervision of student workers. This position will serve in a back-up role to other administrative assistants in the department and to the Main Office Executive Assistant. Ensure a safe, cordial, diverse working environment.

What We're Looking For:

Education and Experience:

  • High School Degree or GED
  • Three (3) years of experience in a clerical or administrative support role

 

Skills Needed:

  • This position requires self-discipline and the ability to work without direct supervision
  • Must have exceptional customer service practice
  • Demonstrated excellent oral and written communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain a high degree of confidentiality
  • Be a forward and strategic thinker with strong organizational and time management skills with emphasis on accuracy and attention to detail
  • Advanced computer and related software skills necessary (Microsoft Word, Excel, Outlook, Adobe, PowerPoint, Brightspace, database, internet, etc.)
  • Typing, drafting, filing, data entry, proofreading and editing skills
  • Serve as the liaison between the Business Office/Procurement and the faculty member to proactively resolve issues and improve processes
  • Capability to interpret policies and procedures and relay that information to others
  • Identify issues or problems and implement recommended solutions with limited supervision using sound judgement and previous experience to resolve situations that fall outside of normal operations
  • Ability to collaborate and communicate with a diverse group of students, staff and faculty within the department and university to support the needs of the organization
