Position Summary:

Reports directly to the Department Head. Provides administrative support to the Department of Agriculture and Tourism including general correspondence/communication, reporting, and coordination of functions related to departments that report directly to the Department Head which include, the registrar, budget office, controller, procurement, payroll, and special services, administrative services, facilities management, human resources, student accounts, and office information systems.

Essential Duties and Responsibilities:

Provides direct administrative support to the Department of Agriculture and Tourism including managing correspondence and communication with departments under the direct supervision of the Department Head, scheduling appointments, compiling, and preparing various forms and reports, maintenance of records, and other documentation. Prepares project requests, requisitions, and payment requests and maintains records for departmental operations, and travel. Monitors payments on current project funds, professional services contracts, MOFs and purchase orders, and departmental p-card. Maintains web pages for various departments under the direct supervision of the Department Chair of the Department of Agriculture and Tourism.

Knowledge, Skills, and Abilities:

Possess a high degree of initiative and work with minimal supervision. Working knowledge of spreadsheet, presentation, database, and word processing software programs. Excellent oral and written communication skills, and ability to plan and organize effectively.

Minimum Requirements:

The formal education equivalent of a high school diploma; plus one year of experience in a specialized or related area applicable to work performed.

Additional requirements determined by the institution for recruiting purposes require review and approval by the Arkansas Division of Higher Education.

Preferred Qualifications:

Knowledge of higher education principles, practices, and procedures.

Knowledge of Ellucian, BoardDocs, Argos, and OU Campus, v10.

Extensive experience with computer systems, such as web-based forms, creating and editing PDF documents, and maintaining web pages.

Excellent customer service skills to deal effectively, tactfully, and sensitively with a wide variety of people in person, via telephone, and in writing.

Excellent oral and written communication skills, and ability to plan and organize effectively

Knowledge of social media platforms and their purposes.

Work Location, Environment, and Physical Demands:

On campus, primarily in Williamson and Dean Buildings.

While performing the duties of this job, the employee is continuously required to sit and talk or hear.

The employee is occasionally required to stand; walk; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and stoop, kneel, crouch or crawl.
