The Department of Family Medicine in the Keck School of Medicine at USC is seeking an administrative assistant to join the Department’s administration team and work closely with the Department’s leadership team.  We are looking for a dynamic, organized, self-motivated individual.  The Department provides education to medical students, physician assistant students, medical residents, and community physicians.  It delivers primary care to patients at multiple clinic sites.  Faculty also engages in research. Duties include clerical and organizational support.

Duties for this position may include:

Administrative Assistance

Assists Vice Chair for Clinical Affairs (& other faculty as assigned) with calendar.  Coordinates meetings for clinical division (books space, sets up Zoom, prepares documents, orders food, reaches out to participants to organize, takes minutes, distributes action items, as needed). Distributes announcements to faculty, staff, etc. as needed. Provides administrative support to Clinical Division (e.g., onboarding schedules, document and report drafts, Power point)

Financial Transactions

Processes and logs faculty and clinical staff discretionary transactions for all clinical units (Faculty Practice, LAC-USC, FQHCs) Processes and logs all other financial transactions for the clinical units (e.g., business cards, lab coats, supplies and services, reimbursements, travel arrangements, POs, deposits)

Special Programs

Provides back-up to Chair’s Assistant for events Assists Department Communications Coordinator with media or marketing projects

HR

QGenda scheduling & clinical faculty time away reporting

Preferred Education: Bachelors degree

Combined experience/education as substitute for minimum education

Minimum Experience: 3 years

Minimum Field of Expertise: Specialized clerical and administrative experience

The hourly rate range for this position is $24.62- $33.48.
