Administrative Assistant II

The USC Center for Enrollment Research, Policy and Practice (CERPP) is excited to hire a
full-time professional who shares our commitment to fostering equity and expertise in
educational access, admissions, and outcomes. Established in 2007 at the University of
Southern California, CERPP is an independent research center that works to enhance systems
of postsecondary admissions, financial aid, and degree completion by connecting research,
policy, and practice. We conduct and translate research, provide evidence-based professional
development and conferences for enrollment management professionals, and offer direct
college advising services to over 10,000 high school students in Los Angeles each year with the
USC College Advising Corps.

CERPP is seeking a highly organized and detail-oriented Administrative Assistant II to provide
critical administrative support to our energetic and forward-thinking team. In this position, you
will play a vital role in supporting CERPP and its executive director in developing and executing
equity-oriented programs, projects, and initiatives. We are committed to embodying the sort of

minoritized and other marginalized communities. This role primarily requires on-site presence
with the flexibility of remote work for one day per week. Please note that this arrangement is
subject to change at any time to align with business requirements.

Responsibilities include but not limited to:


• Office Management: Organize and expedite flow of work, including overseeing office
communications and responding to inquiries in a timely manner. Serve as a resource and
interact with a variety of stakeholders to facilitate communications and information exchange.
Calendar Management: Coordinate schedules and appointments for its executive director
and the Center. Assist in scheduling meetings, travel, conferences, and events, both on and
off-campus. Serve as a professional point of contact for the executive director in executing a
demanding schedule.
Communication: Assist in preparing and proofreading documents, reports, and presentations.
Serve as a liaison between the Institute and external partners, students, and faculty. Assist with
internal and external communication and correspondence, including the Center’s website, social
media and email management.
Budget Support: Assist in tracking and managing budgets, including expense reports,
invoices, and financial documentation. Work closely with the Center’s business administrator to
ensure compliance with procedures.
Contracts and grants administration: Monitor budgets, prepare and submit reports. Interact
with university contract administrators and external funders to provide information, resolve
problems and coordinate on-site visits.

Event Coordination: Support the planning and execution of conferences, seminars,
workshops, and other events hosted by the Center. Coordinate logistics, including venue
arrangements, catering, travel accommodations, and event promotion.
Documentation and Record Keeping: Maintain files and databases within and across Center
activities.
Special Projects: Provide support for various special projects, events, and initiatives as
assigned.


Required Qualifications:
• Bachelor's degree
• Minimum of three years of secretarial or specialized clerical and administrative experience

Preferred Qualifications:
• Four years of secretarial or specialized clerical and administrative experience
• Excellent communication and interpersonal skills. Comfortable with managing a regular stream
of communications to meet timelines.
• Strong organizational and multitasking abilities
• Attention to detail and accuracy, as well as ability to maintain confidentiality
• Self-motivated and proactive, with the ability to work independently
• Possess strong human relations skills, positive attitude, and commitment to team-based
activity. Success working with and communicating across diverse communities and
constituencies is essential.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Working knowledge of WordPress, Adobe, ConstantContact, Linkedin, Salesforce
• Ability to shift priorities quickly, while maintaining organization and perspective
• Graphic design and creative skills welcome
• Social media and marketing skills also welcome

Anticipated Hiring Range: The hourly rate range for this position is $27.59 - $33.48. When extending
an offer of employment, the University of Southern California considers factors such as (but not
limited to) the scope and responsibilities of the position, the candidate’s work experience,
education/training, key skills, internal peer equity, federal, state and local laws, contractual
stipulations, grant funding, as well as external market and organizational considerations.
