The University System of Maryland Office (USMO), led by Chancellor Jay A. Perman, is the staff to the Board of Regents. Staff members advocate on behalf of the 12 USM institutions, facilitate collaboration and efficiencies among the institutions, and provide information about the system to the public. With leadership from the USM Board of Regents and Chancellor Perman, the USMO coordinates academic programs, assists with long-range planning and resource management, facilitates private fund raising, and provides financial stewardship.

Position Summary/Purpose of Position:
This position is located in the USMO Adelphi Office with the option to telework part of the week. Under general supervision of the Director for the Maryland Center for Computing Education (MCCE) within the P-20 office provides administrative support for P-20 partnership projects and professional development within the office of the Associate Vice Chancellor. This is a full-time contractual position for one year with the potential for renewal.
Responsibilities:

Information/Data Organization and Analysis: ·
  • Collects, compiles, and organizes data pertinent to MCCE projects. Analyzes, summarizes, and communicates this information to appropriate officials.
  • Assists in the preparation of annual and financial reports, recommendations, and other information resources for the improvement of MCCE and its programs.
  • Tracks grant and program budgets and timelines.

Event Support:
  • Arranges accommodations for facilitators and MCCE event participants. Assists conference participants and sponsored participants in arriving at the event location, checking in for the event, and finding locations for lunch and/or breaks. Provides on-site support throughout the duration of each conference, which range between 1 and 5 days in length. Provides any support required by MCCE to promote the effectiveness of the Meetings/Conferences.·
  • Communicates with stakeholders and processes payments for venue, services, facilitators, and other event expenses.
  • Arranges online or in-person venues, sets up registration, communicates with participants, and coordinates any resources needed.

Office Support:
  • Assists in the planning and implementation of programs, procedures, practices, and organization.
  • Organizes calendars and schedules events.
  • Periodically updates social media accounts and websites.
  • Researches and compares available travel and hotel accommodations to identify the best available option for each travel need.
  • Manages travel reservations and accommodations, including preparing itineraries and schedules for internal and external staff.
  • Obtains approval from leadership for travel requests and expenses that exceed established limits.
  • Processes reimbursements for travel expenses.
Minimum Qualifications:
Education:

High School Diploma or GED
Experience:

  • 3 years experience providing administrative support.
  • Formal education from an accredited college or university may be substituted for the experience requirement on a year-for-year basis with 30 undergraduate or doctoral credits or 12 graduate credits being equivalent to one year of experience.



Knowledge/Skills/Abilities:
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures.
  • Ability to communicate effective both orally and in writing.
  • Ability to proofread and edit written documents.
  • Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software.
  • Ability to understand and follow oral and written instructions.
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner.
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
