Position Summary:
Creighton University Phoenix Health Sciences Campus in Phoenix, Arizona is seeking an Administrative Assistant to work at the front desk. Reporting to the Sr. Director of Operations - Phoenix; this position provides high level customer service to all faculty, staff, students, and guests of the Creighton University Health Sciences Building. The Administrative Assistant is responsible for all reception and operator functions of the building and is the first point of contact for all visitors; responsible for all guest management (continuing education experience), wayfinding, and information dissemination and will help track building work orders and support the Sr. Director of Operations with work order reports and follow up.
Essential Functions:

· Provide guest support by assisting Creighton and non-Creighton guests and clients with information support, visit needs, and logistical consultation and wayfinding support
· Consult with internal partners and key stakeholders to provide appropriate support, as well as facilitate appropriate communication between guests and Creighton University
· Reception functions, including campus (Phoenix) operator functions.
· Process invoices in AP system & issues work orders
· Maintain daily operations and activity reports and schedules. Communicating daily with key campus partners regarding events and activities in the building.
· Support additional Phoenix Campus functions and efforts as requested.
· Responsible for the distribution of the annual Travel Reduction Program, TRP, survey, and messaging updates on the TRP program on a quarterly basis
· Order and distribute copy paper and misc. supplies to the faculty staff printers (4) and kitchenettes on floor 6 and 7
· Point of contact for digital signage message requests
· Update Phoenix faculty staff directory and obtain new hire introductory information for Creighton Today publication
· Issue annual contractor tax forms
Education & Experience:
· Bachelor’s Degree preferred
· Strong interpersonal and hospitality skills with a strong commitment to guest satisfaction. Diplomacy is a must.
· 4 years of related work experience
Knowledge, Skills, and Abilities
· Ability to prioritize and manage multiple tasks while accurately attending to details.
· Excellent organizational, written and verbal communication skills required.
· Ability to work occasional evenings and weekends in support of major events.
