Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.


Additional Department Summary: The Administrative Assistant II is the first point of contact for lawyers participating in CLE Alabama events. Provides a full range of clerical support to the office including but not limited to the Director, Program Manager and Program Coordinator. Ensures everything runs smoothly from taking responsibility for registration services and publication orders and sales to organizing supplies and supervising student workers.


Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree.


Skills and Knowledge: Strong organizational skills. Outstanding verbal and written communication skills. Excellent time management skills. Ability to learn and develop expertise in using CE21, CLE Alabama's customer relationship management system. Attention to detail. Ability to work on multiple projects simultaneously. Ability to work well with others in a shared office environment. Working knowledge of Microsoft Office products such as Word, Excel and Outlook. Extraordinary motivation to complete tasks well and on time. High degree of professionalism.
