Position Summary/Purpose of Position:
This position is located off-campus at the Montgomery County Extension Office in Derwood, MD.
Under general supervision, provides moderately complex administrative, secretarial and clerical support to assigned faculty. Work requires thorough knowledge of the organization and programs as assigned and involves moderate participation in the work of the supervisor and staff. Incumbents have responsibility for office operations and function independently where procedures have been established. Ensures confidentiality of information. Relays messages and instructions between supervisor and others, exercising independent judgment and initiative where guidelines and procedures have been established.
Minimum Qualifications:
Education:
  • High School Diploma or GED.

Experience: 
  • 2 years experience providing administrative support.

Applicants may be required to complete the institution’s required skills assessment to be considered. Some positions require specific skills such as word processing, spreadsheet, presentation, database, email or calendaring software, and Internet proficiency.
Required Knowledge, Skills, and Abilities:
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures. 
  • Ability to communicate effective both orally and in writing.
  • Ability to proofread and edit written documents. 
  • Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software. 
  • Ability to understand and follow oral and written instructions. 
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner. 
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

Other:
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

This position is subject to a Criminal History Record Check and University of Maryland Background check. Employment is contingent upon successful completion and clearance of the Criminal History Record Check.
JOB RESPONSIBILITIES:
  • Screening of telephone calls and visitors, answering inquiries administering routine matters. Scheduling, coordinating and managing meetings/ appointments and materials of assigned educators. May attend meetings and prepare notes/minutes as requested.
  • Supporting program purchase, allocation, and preparation of monthly p-card packets.
  • Generate program reports, based on general instructions.
  • Management of social media posts and event planning software. 
  • Preparation/proofreading of newsletters, manuscripts, correspondence, charts, forms, slides, and other educational resource materials using automated software. 
  • Ensuring confidentiality of information. Liaising between supervisor and others, exercising independent judgment and initiative where guidelines and procedures have been established.
  • Utilize automated applications and equipment including Google Suite, Microsoft Office, Workday, social media platforms, PowerPoint, Eventbrite, Adobe Acrobat, and SignUp.
  • Maintaining internal volunteer tracking system and volunteer background check notifications.
  • Efficient time management and organizational skills, including the ability to meet deadlines promptly.
  • Other duties as assigned.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • Visual acuity is required to review and/or analyze written reports, spreadsheets, data, and figures for accuracy. This position will also research information and prepare written materials and presentations for annual reports, budget presentations, and/or Advisory Council or staff meetings. Extensive viewing of a computer screen is normal.
  • Ability to lift and carry small parcels, packages, and other items (up to 20 lbs.) between offices.
