The Opportunity

We are seeking a skilled Administrative Assistant to provide comprehensive administrative support to faculty, lecturers, and students in the Department of Economics in the ILR School. This position also entails providing administrative assistance to the Labor Dynamics Institute (LDI), contributing to the smooth functioning of both entities.

Key Responsibilities:

Academic Support:

  • Act as a liaison between department faculty, college, and university administration.

  • Coordinate academic searches and facilitate recruitment processes.

  • Provide support for teaching and research activities, including class material preparation and website maintenance.

  • Compile materials, proofread documents, and assist in the preparation of confidential reports.

  • Process faculty travel reimbursements, manage department budgets, and handle billing and expenses.

  • Order office supplies and equipment as needed.

  • Maintain course and research files, ensuring organization and accessibility.

Labor Economics Weekly Workshops:

  • Coordinate multifaceted Labor Economics weekly workshops in collaboration with the faculty workshop coordinator.

  • Facilitate the logistics and planning of workshop sessions.

Labor Dynamics Institute Support (LDI):

  • Coordinate and plan events for LDI, including scheduling meetings and monitoring associated expenses.

  • Maintain project web pages and list serves.

  • Process travel arrangements and compile yearly activity reports to support the preparation of annual reports.

This is a full-time (39 hours/week) Contract College position that is based in Ithaca, NY. This position follows a 3:2 campus-to-home hybrid work arrangement after a period of training and acclimation. This hybrid arrangement is subject to change at any time. Typical work hours are 8am-4:30pm Monday through Friday with occasional evenings and weekends to meet department needs.

  • Have prior office experience in a teaching and research-based setting.

  • Work independently and exercise discretion and independent judgment.

  • Interact tactfully with diverse groups of individuals.

  • Be flexible and able to work with many different work styles at one time.

  • Be able to prioritize requests, manage time effectively to meet departmental and university deadlines.

  • Take initiative and be a pro-active team member.

  • Demonstrate the aptitude to work in a disruptive environment without being distracted is essential.

  • Plan, organize and coordinate multiple projects, manage events and special assignments.

  • Have outstanding organizational skills.

  • Have excellent written and verbal communication skills.

  • Maintain confidentiality and exercise discretion is essential.

  • Have expertise in Microsoft products including Word, Excel, PowerPoint and Outlook.

  • Quickly learn new software, equipment, and systems.

  • Monitor and manage financial accounts.

  • Have prior experience with event planning.

  • Have general database operating knowledge and internet search skills.

  • Demonstrate commitment to supporting diversity, equity, access, inclusion, and wellbeing.

  • Cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.

  • Bachelor’s Degree strongly preferred.

  • Minimum six years of experience in an office setting.

  • Knowledge of Cornell University Concur travel and reimbursement system.

  • Experience with PeopleSoft Faculty Center, Canvas, Drupal, Zoom, and Lyris.

  • Knowledge of Procurement and Travel & Meal business cards, eShop and I Want Doc procurement systems.

  • Demonstrated proficiency in Kuali Financial Systems and Webfin2 and working knowledge of Cornell's financial policies.

  • Experience with Workday, OLGAA (On-Line Grade Adjustment Application), Exchange Group Accounts, Cornell University Box, Cornell Dropbox, Academic Jobs Online.

  • Experience working with Drupal, HTML or other web development tools.

  • Knowledge of SurveyGizmo, Qualtrics or similar online survey software.

  • Knowledge of Mailchimp and other online communication tools.

  • Prior student supervisory experience and skills.

  • Prior experience working with college age workers.

  • Experience in proofing and editing technical and scientific papers in the social sciences.

  • Demonstrated history and continued commitment to Cornell University’s ideals and “Staff Skills for Success.

Rewards and Benefits

  • This position is eligible for a hybrid work arrangement. Employees typically perform this role
    remotely 2days per week and on-campus 3 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.

  • This position is based in Ithaca, New York.Employees who work remotely may receive
    multiple W-2 Forms depending on their work location. The New York Convenience of employer guidelines require New York State individual tax reporting and withholding for this position. Additional individual state income tax filings may also be required if working temporarily outside of New York State.
