Job Description
The Administrative Assistant is a pivotal role providing comprehensive administrative support to the Center for Philosophy and History of Science. Reporting directly to the Center Director, the Assistant will primarily focus on organizing the annual Boston Colloquium for Philosophy of Science, managing administrative tasks, and maintaining the Center's web presence. Responsibilities: Event Coordination:

  • Plan, implement, and oversee the Boston Colloquium, managing all aspects from venue reservations to catering and A/V equipment.
  • Coordinate guest speakers' travel and accommodations, handle payments and reimbursements.
  • Create and distribute event advertisements and flyers.
  • Record and edit audio/video of events for website posting.
General Administration:
  • Oversee the Visiting Researcher program.
  • Maintain the Center's WordPress website and handle general inquiries.
  • Track and report on budget and finances.
  • Order office supplies.
  • Edit photos, audio recordings, and videos from past events for website posting.
Director Support:
  • Assist the Director with budgeting, fundraising, and grant applications.
  • Manage Center accounts and financial transactions.
  • Aid in organizing and running the annual Boston Colloquium lecture series, including hybrid in-person and online events.
  • Design posters and advertisements for Center events.
  • Record videos of events and manage website content.
Communication and Outreach:
  • Liaise with visiting researchers, lecturers, administration, and the public.
  • Serve as the contact person for the Center and manage public access to the Director.

Required Skills
  • B.A./B.S., and one to three years of experience.
  • Proactive and self-motivated with a strong initiative.
  • Exceptional organizational skills with the ability to manage multiple tasks and meet deadlines.
  • Proficient in computer skills, including financial tracking, report filing, and requisitions.
  • Strong webmaster skills for designing and updating the Center website.
  • Effective communication and writing skills for correspondence, reports, and grant applications.
  • Ability to host remote lectures using online meeting platforms.
  • Proficient in operating A/V equipment, recording lectures, and posting content online.
  • Creativity in producing attractive advertisements for colloquia.
  • Previous experience with academic culture is preferred.
Work Schedule:
  • Apart from required Center events, which may occur on weekends or evenings, the work schedule for this position is flexible.
