Under the supervision of the Nurse Manager, this position will serve as the Administrative Assistant/Clinical Care Coordinator for assigned oncologists within UC San Diego Health's Moores Cancer Center. Duties include scheduling and prioritizing appointment access for new cancer patients, planning and managing clinical activities, responsible for all New Patient Triage, including registration of new patients, financial arrangements, as well as providing customer service needed to schedule the patient with Medical Oncology physicians, and/or mid-level practitioners.

Ensure operations run smoothly on clinic days. Directly interact/communicate with patients, families, faculty, and staff, via telecommunications and in person, relating to scheduling consults and triaging complex problems for a multidisciplinary team, which includes physicians, mid-level practitioners, nurses, social workers, and pharmacists. Answer and triage incoming communications (i.e., phone calls, emails, Epic My Chart messages, etc.). Uses the EPIC medical records system to schedule and register patients for appointments. Communicates with a variety of private and government agencies.

Applies knowledge of various insurance products (i.e., HMO, PPO, POS) in order to verify authorizations and ensures payment/reimbursement. Provides high-level administrative support for Oncology Team Physicians. Provides a variety of other administrative duties in support of patients' services. Supports faculty with protocols, academic files, and collection of published literature, recruitments, and seminar meetings. Manage and maintain complex calendars for meetings and appointments. Assist with coordination of travel arrangements and processes reimbursements of expenses as needed.

Prepare and distribute clinic notes to referring physicians and medical records. Transcribe faculty correspondence and prepare patient letters, other documents, memos and e-mails as requested. Assist in developing and maintaining databases and assisting with collecting, analyzing, and entering metrics into the data system. Attend the Disease Team meetings and take minutes to prepare and distribute to all team members. Communicate with faculty, clinic staff, administrators, professional organizations, and outside agencies (i.e., insurance companies and community medical groups) to complete daily job duties.

  • Three (3) years of related experience working in a large, complex healthcare setting.

  • Experience working with Health Insurance companies and Community Medical Groups.

  • Knowledge of scheduling and authorization. Ability to interact well with care teams and all patients and families.

  • Demonstrated knowledge and advanced skill in word processing software applications (Word, Outlook, Excel & PowerPoint).

  • Excellent customer service skills.

  • Excellent ability to communicate both orally and in writing.

  • Prior Oncology experience.

  • Experience with Epic EHR system (including Cadence).

  • Knowledge of medical/scientific terminology, authorizations, various insurance products, and 3rd party payors.

  • Bilingual: Spanish/English.

  • Experience in supporting physician faculty reimbursements and calendar management.

  • Must be able to work various hours and locations based on business needs.
  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
