Job Description

Truckee Meadows Community College (TMCC) located in Reno, Nevada, is recruiting for an Administrative Assistant 4 in the Scheduling Office.This position is dedicated to scheduling space for all college activities including meetings, workshops, final exams, video conferences, student events and other space needs using the Series25® scheduling software. This individual will reach out and meet with prospective clients in the community to promote TMCC’s spaces available for meetings, conferences, trainings, and large events and oversees all requests from outside agencies for space utilization. This person works in conjunction with several college departments impacted by external events such as Media Services, Police Services and Facilities. In addition, this position works very closely with the President’s and Vice President of Finance and Government Relations Offices which requires strong attention to detail, excellent organizational skills and in-depth knowledge of NSHE/TMCC policies. This position oversees training for Series25® end users and in addition, creates training packets and sets up user security levels. This position provides support to the NSHE Specialist 2 by providing backup for academic class scheduling as well as working with faculty, staff and students as needed.  Experience with scheduling software is preferred for scheduling events, maintaining classroom features, and running data reports. General knowledge of QuickBooks accounting software is desired for processing invoices and collecting payments from outside agencies. This position works independently and must use good judgment in establishing timelines, analyzing situations and determining effective action plans. 

Required Qualifications

  • Graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR

  • One (1) year of experience as an Administrative Assistant III in Nevada State service; OR

  • An equivalent combination of education and experience as described above

Preferred Qualifications

  • Experience with scheduling software and Quickbooks

  • Experience in client relations and promotion of services to prospective clients

Schedule

The typical work schedule is Monday through Friday from 8:00 AM – 5:00 pm; this is subject to change based on organizational needs.

This position requires an occasional flexible work schedule due to overseeing outside events before or after regular business hours.

Compensation Grade

Grade 29 (Step 01 $21.64/hr. - Step 03 $23.49/hr.)

The Grade is determined when the position was created. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets.
