Job Description

Western Nevada College is recruiting for an Administrative Assistant 4 for the President's Office. The ideal candidate will plan and execute a variety of events on the Campuses of Western Nevada College, including contracts, logistics, budgets and strategic planning. This position will also provide administrative support to the President’s office. Duties for this role include: Serving as the first point of contact for internal and external parties wanting to reserve space for events at Western Nevada College campuses, working with clients or stakeholders to understand event objectives and requirements, collaborating with the WNC Observatory Director and other departments for successful observatory operations and work with Marketing to create promotional materials and marketing campaigns to attract attendees. This position will also create event proposals, contracts and billing, work in collaboration with Facilities, Custodial, Police Services, Business Office, Contracts and other WNC departments for successful events, use systems to reserve space and enter work orders for audio-visual, set-up and maintenance needs, develop and maintain event plans, checklists and schedules, establish a list of vendors that provide services such as catering and linen rental, provide assistance to attendees during events, maintain a working knowledge of the complex needs of a wide variety of events, coordinate event details, proactively planning and addressing potential problems that may arise, maintain a list of available campus event space, capacity limitations, appropriate use and corresponding pricing, work with the Controller’s Office to create invoices and collect payment and establish processes and procedures to support efficient operations.

Other duties include providing administrative support including, but not limited to, front desk reception for the President’s Suite, preparing memos, processing invoices for the President’s office, processing mileage reimbursement requests, checking mail daily, processing various items in Workday including host expenses and reimbursement requests, ensuring Workday items and other approvals needed outside of Workday are tracked and completed, interpreting and explaining WNC policies and procedures for staff and faculty who may have questions, remaining current on changes to policies at the System and college level and updating policies as needed through the College Council process.

Required Qualifications

  • This position graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR

  • One (1) year of experience as an Administrative Assistant III in Nevada State service; OR

  • An equivalent combination of education and experience as described above 

Preferred Qualifications

Bachelor’s degree in Event Management, Hospitality, Marketing or other related field are encouraged to apply.

Applicants with experience with PeopleSoft or OnBase are encouraged to apply.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 29

The classified employee pay scale is divided into 10 steps within each grade. Most employees start at a step 1 and are eligible for an annual step increase with satisfactory performance, until they reach the maximum, step 10. Classified employees are eligible for any legislatively approved cost of living increases (COLA).
