FULL-TIME/PERMANENT ADMINISTRATIVE ASSISTANT 4 Capital and Asset Management Program Olympia, Washington This supervisory position provides administrative support to the Capital and Asset Management Program (CAMP) Director and program staff. The incumbent provides prompt and efficient response to program staff needs so that staff can fulfill their projects in a timely manner. Provide administrative support processing specifications, correspondence, and reports to ensure they are in compliance with policies, procedures, and standards; checking format, spelling, grammar, and punctuation; and consults with the Engineers/Project Managers for clarification on products that does not conform to program standards or contains inconsistencies or errors. Use independent judgment to accomplish assignments or solve problems and be responsible for developing new work methods, procedures, or strategies, or modifying existing work methods. With your experience, you will assign, edit, and prepare correspondence for Program Director and program staff. You thrive on building collaboration and teamwork, supervising and mentoring technical and professional level staff to support an effective, motivated team. Duties Our Administrative Assistant, Provides assistance to CAMP in administrative matters; develops and implements improved administrative processes and procedures for work unit and program. Supervises administrative section staff. Oversees required administrative procedures such as travel, training registrations, etc. Promotes compliance with agency guidelines and program policies; assists staff in understanding policies and procedures. Responsible for coordinating program support for agency public records disclosure requests. Oversees and assists the public works contract administration support functions including production of specifications and bid documents, contract advertising, bid openings, and administration support to contract specialist staff. Prepares, processes, and tracks all personnel and position actions; completes all HR paperwork and coordinate timelines (i.e., recruitment, hiring, personnel actions, position descriptions, yearly evaluations, service awards, etc.); reviews personnel requests for content and accuracy; requests revisions as necessary. Coordinates all computer-related equipment requirements with agency IT Department. Manages motor pool resources including DES Motor Pool liaison, scheduling of vehicle use, replacement scheduling, and reporting requirements. Manages ordering and distribution of office supplies, staff uniform items, safety equipment, and general supplies needed by staff. Develops the Performance Development Plan (PDP) for each assigned employee within unit; creates or updates position descriptions; monitors and documents employee performance; provides on-going feedback regarding levels of performance and conducts timely and meaningful employee performance evaluations. WORKING CONDITIONS: Work Setting, including hazards: Duties are performed in an office setting. This position requires extensive computer use. Schedule: Work a typical schedule of 8:00 a.m. – 5:00 p.m., Monday through Friday, occasional overtime and weekends may be required. A flexible work schedule may be considered at the incumbent’s request, subject to supervisory approval, including telework opportunity. Travel Requirements: 5% travel may be required. Tools and Equipment: Computer hardware and software; multi-line telephones. Customer Interactions: Customer service is integral to department success. Interacts with program and agency staff, public, vendors and contractors.
Qualifications
REQUIRED QUALIFICATIONS: Closely related qualifying experience may be substituted for the required education on a year-by-year basis. High school diploma or GED. And Four (4) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work. License: Valid driver’s license.
