Position Announcement

The College of Science (COS) is looking for a highly motivated new team member to join the Dean's Office Staff! The successful candidate will play a key role in the date to day operations of the COS Dean's Office as we seek to fulfill our mission of providing excellent education to develop the scientific economy of the Utah Valley Region.
Under the direction of the Dean of the College of Science, the Administrative Support IV, performs and oversees a variety of complex and highly confidential administrative support duties. Coordinates financial activities for area, including procurement, travel arrangements, index tracking and reconciliation, budget balances, etc. Assists COS Scholarly Activities award recipients with purchases and manages the budget. Works closely with departments within COS in coordinating and awarding scholarships. Maintains inventory of office equipment and supplies. Supports events, marketing, communications, and correspondence. Provides support to students, faculty, and staff who may have questions related to the College of Science. 


Summary of Responsibilities

  • Performs advanced and confidential administrative support duties, including composing routine correspondences, meeting minutes, special events, financials, and obtaining factual information requiring knowledge of policies/procedures of both assigned and work related areas. Maintains confidentiality at all times.
  • Coordinates dean’s office financial activities including timecards, ePAF’s, requisitions, purchase orders, travel, index tracking and reconciliation, budget balances, etc.
  • Acts as a liaison between the Dean, faculty, staff and students. Maintains knowledge of and interprets college and university policies and procedures and explains them to employees, students, visitors, etc. as necessary.
  • Maintains inventory of office equipment and supplies; handles other office duties as needed which may include supervision of office support.


Minimum Qualifications

Graduation from an accredited institution with a bachelor's degree and one year of experience related to the summary of duties; or an associate's degree and three years of experience related to the summary of duties; or any combination of education and/or experience totaling five years.

Knowledge    

  • Knowledge of standard office methods, techniques, practices, and procedures.
  • Knowledge of budgets and financial reports.
  • Knowledge of event planning.

  • Skills in the use of computers and computer software applications, including word processing, spreadsheets, e-mail, databases and presentations.
  • Skills in the preparation and interpretation of reports, charts, graphs, and tables.
  • Skills in multi-tasking and complex activities.
  • Strong interpersonal, problem-solving and decision-making skills.
Abilities    
  • Ability to perform a variety of administrative support and confidential duties with minimum supervision.
  • Ability to follow oral and written procedures and instructions.
  • Ability to communicate effectively, orally and in writing. 
  • Ability to meet and work with people of diverse backgrounds.
  • Ability to coordinate and assist in the preparation and monitoring of departmental financial transactions.
  • Ability to maintain confidentiality.
