Position Summary
This position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy. UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station.
The selected candidate for this position will be responsible for general office duties, including managing room reservations calendars, maintaining faculty and student directories, handling daily incoming and outgoing mail, and maintaining supplies and office equipment. This individual will also manage ITS, housekeeping, and facilities requests.
The Admin Support Associate is responsible for faculty and department support, such as scanning, copying, faxing, and mailing items as requested by faculty, and assisting with all miscellaneous tasks as needed.
The Admin Support Associate will schedule and coordinate events, receptions, and room accommodations for colloquia, visiting speakers, and internal speakers. This individual will also assist with faculty recruitment processes, including placing advertisements in a variety of associations’ newsletters and magazines, and make hotel reservations as needed.
The selected candidate for this position will be responsible for the department website. Duties include maintaining the department website utilizing PLONE, maintaining the department intranet in MS Sharepoint, and creating and maintaining other department-specific web.unc.edu sites as needed in Wordpress. The Admin Support Associate will also be responsible for the annual summer departmental newsletter, including mailings, emails, newsworthy materials, interviews, website news items, and photographs. Additionally, this individual will coordinate all aspects of layout, editing, and publishing for the newsletter.
The Admin Support Associate will assist the Department Chair with Alumni development and donor acknowledgement. Duties include creating and sending out thank you letters and other administrative correspondence. This individual will assist students with registration issues, maintain courses with Instructor Content, enroll students in courses as directed by instructors, and assist instructors with Sakai issues. Additionally, this individual will assist the Associate Department Chair with course registration, and will input and maintain course schedules in ConnectCarolina and AD-ASTRA.
Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Required Qualifications, Competencies, and Experience
Substantive knowledge of office procedures, methods and practices is required. The ability to use correct grammar, vocabulary, spelling and office terminology to compose correspondence, reports and materials is also required. The selected candidate will have the ability to plan, prioritize, organize and review administrative and/or office work flow and procedures. Proficiency in the use of computers with a Windows operating system (esp. Microsoft Office and Excel) with work processing, publishing, spreadsheet and graphic programs is required, as is familiarity with electronic mail systems. Effective verbal and written communication skills are also required, as are strong customer service skills.
Preferred Qualifications, Competencies, and Experience
Prefer individual with knowledge of State and University policies. Experience with fund raising, development and course scheduling a plus. Knowledge of PLONE, ConnectCarolina Course Scheduling, AD-ASTRA and Doodle is also preferred.
