Department Purpose

The Jan Shrem and Maria Manetti Shrem Museum of Art is dedicated to education and serves a primary audience of faculty and students as the lens through which it engages a broader audience. The museum’s program is steeped in the richness of resources at UC Davis (a top 5 public university in the US), which is also the repository of an important art historical legacy; and its physical location in the Central Valley.



Job Summary

Under direction of the Deputy Director, the Business Operations Coordinator will perform financial and business operations activities and various special projects for the Jan Shrem and Maria Manetti Shrem Museum of Art. As Account Manager, review and approve financial transactions in support of operating and business planning consistent with campus/departmental policies, procedures and practices. Create accounts as needed and review general ledgers and initiate corrections. Serve as the administrator for the departmental financial system.
Responsible for a full range of business operations coordination including setting up new personnel in space, assessing needs of new employees/programs including telephones, mail services, furniture needs, etc. Serve as Key Control person and equipment custodian for the department. Prepare travel and entertainments reports. Oversee the Area Telephone Representative (ATR) function. Serve as a backup for the front desk receptionist.
Conduct analytical projects for Executive Director, Deputy Director, Senior Director of Development, and other senior management. As the Museum is initiating and standardizing operations, develop new processes and policies and identify opportunities and provide recommendations for streamlining existing processes.

QUALIFICATIONS

 

Required:

 

Minimum Education/Experience

  • Experience coordinating day-to-day business operations, making recommendations, and implementing improvements.

 

  • Experience performing analysis and research to interpret data and policy, write cogent and persuasive recommendations, and present analyses both orally and in writing.

 

Minimum Knowledge, Skills, and Abilities (KSA)

  • Comprehensive knowledge of accounting and business management
    principles and practices.

 

  • Computer skills using word processing, spreadsheet, automated financial
    systems, and other applicable software to accomplish assignments.

 

 

Preferred:

Preferred Education/Experience

  • Experience researching, interpreting, and applying policies related to entertainment and travel.

 

  • Experience using writing, editing and proofreading skills with correct grammar, spelling and punctuation to develop reports, proposals, correspondence, policies and procedures, and other projects.
