Position Description


Advertised Job Summary
Supervise, coordinate, develop, and implement systemic processes in various projects related to the clinical education of pre-clerkship medical students. Manage the implementation of the Introduction to Clinical Medicine (ICM) courses. (ICM-1 Fall, ICM-1 Spring, ICM-2 Fall, and ICM-2 Spring). Assist the Assistant Dean for Clinical Learning with developing new curricular features and threads. Manage the ICM database and prepare reports. Coordinate faculty speakers for the ICM program, averaging between 50 to 100 speakers annually. Manage travel arrangements and manage program expenses for the ICM program. Lead the coordination and implementation of systemic processes related to the clinical education of pre-clerkship medical students. Demonstrate commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.
Minimum Qualifications
Requires a bachelor’s degree and 2 or more years of experience, which may be substituted by equivalent combination of certification, training, education, and/or experience.
Preferred Qualifications
Master’s degree and two years related program experience, or bachelor’s degree and four years related experience. Prior experience with undergraduate medical education programs.

Ability to work independently while developing strong collaborative relationships with stakeholders and colleagues. Ability to exercise professional judgment and discretion and maintain strict confidentiality. Exceptional oral and written communication skills. Ability to learn new software programs and calendar management. General knowledge of project management principles and the ability to coordinate projects. Ability to prioritize work and manage diverse and competing priorities while meeting deadlines. Strong communication skills when working with physicians and other stakeholders. Ability to interpret and apply laws, regulations, policies, and procedures. Strong computer skills, including Microsoft Office products and database management. Exceptional written and oral communication skills. The ability to plan, organize, and facilitate project plans and deliverables is essential. Exceptional organizational skills and time management skills are required. Ability to balance multiple activities simultaneously.  Proficient in analyzing data and summarizing results. Proven ability to be a self-starter, learn quickly, and work independently. Manage the recruitment and scheduling of participants in small group sessions related to clinical education.

Manage and coordinate all activities associated with assigned clinical education projects. Manage and coordinate recruiting community physicians to participate in clinical experiences for M1 and M2 students. (Approximately 200 students each year requiring one-on-one mentorship) Facilitates faculty compliance with the evaluation of medical students. Ensures Assistant Dean/Stakeholders are provided with current information on the status of active projects by executing the project communications plan (providing oral and/or written status reports, team lead and team member project schedule task reports, etc.). Coordinate and organize meeting logistics such as scheduling meetings, reserving meeting rooms and other resources, preparing meeting minutes, and other communications for M1 and M2 students. Communicates with project team members and stakeholders, scheduling information and making necessary changes.

Performs activities related to fiscal management, budgeting, procurement, supply services, and auxiliary services for the Clinical Education Program. Manages the department’s purchasing card and ordering (supplies, catering, etc.) for the Clinical department. Supports department in event logistics, including event venue registration and rental paperwork, event catering logistics, and event task tracking.
