Position Summary:

The position of Admin Associate for the Executive Officer of Finance and Administration in the Heersink School of Medicine Dean's Office is a crucial role within the school's administrative structure.

Support to Executive Officer: Provides high-level administrative support to the Executive Officer of Finance and Administration. This involves managing their calendar, scheduling meetings, coordinating travel arrangements, preparing correspondence, and handling communication on their behalf. 

Office Management: You might be responsible for overseeing the smooth functioning of the office, including maintaining office supplies, coordinating office equipment maintenance, and handling general office administrative tasks.  Confidentiality and

Discretion: Given the sensitive nature of financial and administrative matters, the role requires a high level of discretion and professionalism in handling confidential information. 

Interdepartmental Coordination: Collaboration with other departments within the school and potentially across the university could be part of the role.  

Communication Skills: Strong written and verbal communication skills are essential as you may be required to draft emails, memos, or reports on behalf of the Executive Officer or communicate with various stakeholders. 

Adaptability and Multitasking: The ability to handle multiple tasks simultaneously, prioritize effectively, and adapt to changing priorities in a fast-paced environment is critical. 

Technology Proficiency: Proficiency in office software suites (such as Microsoft Office or Google Workspace) and potentially specific financial or administrative software is often required.  This position requires administrative skills and a proactive and organized approach to ensure the efficient functioning of the Dean's Office in a demanding and dynamic environment.

Salary Range: $18.35- $29.80

 

Qualifications

 

Bachelor's degree in a related field and one (1) year of related experience required or an equivalent combination of relevant education and/or experience.
