Job Summary:

The Evaluation Center takes pride in providing a meaningful, supportive, and collaborative work environment. We are housed within the School of Education and Human Development and operate as a separate, autonomous, not-for-profit entity with the backing of a major research university. This unique situation allows the Center to operate independently and to provide external evaluation services to clients aligned with our vision and mission both inside and outside of the University. About the Position

The administrative assistant provides support to project teams and colleagues as assigned. They may take on tasks independently with direction from other staff members and will work closely with the evaluation data manager. They are accountable to project teams and colleagues and are responsible for managing their own time effectively and managing and prioritizing multiple assignments. 

 

Leadership and Teamwork 

The administrative assistant engages in full team events and initiatives and actively participates in internal workgroups. They actively contribute to valuing all team members, ensuring all are treated respectfully, and creating a sense of belonging. They put the needs of the team first and consistently seek to understand the perspectives of others.   

 

Examples of Work Performed  

Responsibilities will include: 

  • Managing gift card programs for project work, including working with Finance to submit gift card program authorization requests, managing all existing gift card programs, purchasing and distributing gift cards, and complying with auditing as needed
  • Assisting project coordination including scheduling interviews with clients, and uploading and downloading interview files for transcription
  • Scheduling project activities such as coordinating and scheduling internal and external meetings, and finding and reserving off-site meeting space
  • Monitoring and purchasing office supplies, as well as purchasing materials and food needed for internal and external meetings
  • Reconciling travel related purchases and other expenses for staff using the University’s purchasing system (Concur)
  • Assisting the business manager in tracking billable hours worked by all staff and student employees on a monthly basis, and compiling and submitting monthly billing reports
  • Taking meeting minutes and scheduling work group meetings
  • Processing incoming mail and other deliveries as needed
  • Providing in-office expertise and acting as the point of contact for shared items such as the printer/copier, conference rooms and related technology, and wireless internet, and submitting building maintenance requests
  • Completing other duties as assigned

Qualifications:

Minimum Qualifications:

  • Bachelor’s degree from an accredited institution.
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis. 
  • One year of general clerical experience with experience in office administration/coordination
    • Experience may include: employment, internships, practicums, apprenticeships that provided real-world evaluation experience
  • Experience utilizing Microsoft Outlook; experience will include utilizing electronic mail and calendars and electronically scheduling meetings
  • Experience utilizing Microsoft Word to develop, edit, and update documents
  • Experience utilizing Microsoft Excel to create, revise, and maintain spreadsheets

Preferred Qualifications:

  • Bachelor’s degree in business administration, business, or other directly related fields
  • Knowledge/ experience providing administrative assistance to non-profit organizations 

Knowledge, Skills and Abilities:

  • Knowledge of general office procedures, protocol and professionalism; expert knowledge of Business English, spelling, punctuation and grammar.
  • Ability to manage multiple tasks simultaneously, adapt to changing priorities, manage time and meet deadlines.
  • Ability to work in a team environment, develop effective interpersonal relationships, and communicate verbally and in writing.
  • Proven data entry skills with ability to input information accurately; prepare and maintain detailed records, files, and reports on an ongoing basis.
  • Ability to work with accuracy and attention to detail

Anticipated Pay Range:

This position is 0.5FTE (20 hours per week). The annual salary for this half-time position is $21,632 - $23,909 commensurate with experience. 

In addition to your base salary, we are offering a non-base building recruitment incentive, payable after you start with the University in the amount of $500. Effective one year from hire date, your performance and accomplishments will be reviewed and you will receive a second non-base building recruitment incentive, in the amount of $1,500. If termination of employment prior to one year occurs by either party, you agree to pay back the recruitment incentives.
