Position Summary

The Department of Pediatrics is seeking a motivated, dependable, responsible, and detail-oriented Clinical Administrative Assistant. This position will be part of an Administrative Shared Services team, providing vital support to the Department's Divisions, Physicians, and Patients. The successful candidates will undertake a variety of operational support activities, including special projects, information gathering and analysis, and inventory control.

Responsibilities:

  • Operational Support: Assist Divisions with day-to-day operational needs, including purchasing, inventory control, and other administrative tasks as required.
  • Calendar Management: Maintain calendars for Physicians and Division heads, scheduling appointments, meetings, and events as necessary.
  • Communication: Handle phone calls, including patient inquiries, in a professional and courteous manner. Compose communications, including emails and letters, as needed.
  • Documentation: Maintain organized and up-to-date files, including patient charts and administrative records.
  • Correspondence: Fax, mail, and electronically send correspondence as required, ensuring accuracy and confidentiality.
  • Patient Support: Update patient charts with relevant information and assist with patient inquiries and scheduling.

    Conditions of Employment
    • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
    • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
    • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
    Minimum Qualifications

    High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

    Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

    Preferred Qualifications
  • Previous experience in a clinical or administrative setting preferred, but not required.
  • Ability to handle multiple tasks simultaneously while maintaining a high level of accuracy and attention to detail.
  • Strong verbal and written communication skills, with a professional and friendly demeanor.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with electronic medical records systems preferred.
  • Ability to work collaboratively within a team environment and independently with minimal supervision.
  • Bilingual skills in English/Spanish
