GENERAL DESCRIPTION
Under the general direction of the Head of Metadata and Access , the Acquisitions Assistant is responsible for creating purchase orders and invoices, and tracking and reporting budget related data. In addition, this position also performs other typical library duties such as shelving, circulating materials, routing materials, updating materials, maintaining the library’s appearance, and opening/closing the library.
The Chicago-Kent College of Law Library at the Conviser Law Center is located in downtown Chicago, one of the largest legal markets in the country. The Law Library advances the academic and scholarly success of students and faculty by providing future-focused training and professional research assistance to a diverse community. COMMUNICATIONS
Strong written and oral communication skills required. Must have the ability to work cooperatively with others, accept direction from supervisor, and maintain effective working relationships with staff and library users. The ability to work with faculty and all levels of staff is essential, as is the ability to explain library procedures and processes in a clear and effective manner. Works with members of other library departments to solve common problems with equipment, personnel, students, and/or services.
CUSTOMER SERVICE
Excellent customer service is the Library’s highest priority. The Library’s primary patrons are the faculty, students, and staff of the Chicago-Kent College of Law. Internal customers include other Law School departments, university departments, faculty & students.
Special Schedule Requirements
The Library is open six days per week, including evenings and weekends, during regular semesters. Staff work a varied schedule, including evening and weekend hours. Work schedules are adjusted during finals, intersession, and other periods during the academic year. The work week for this position is Tuesday – Saturday with four days onsite, and one day WFH.

Qualifications


Education & Experience
High school diploma or equivalent; two years work experience in a position involving customer service. Preferred: Library experience; experience with an integrated library system.
Knowledge & Skills
  • Courtesy, flexibility, and a strong customer service orientation are essential to this position for dealing with all types of faculty, students, and staff who may use services provided by the library;
  • Strong organizational skills required; must be able to alphabetize and order materials alphanumerically; prioritize work; and be detail-oriented;
  • Basic word processing and spreadsheet skills required for completing some assignments. Familiarity with email programs such as Gmail and needed for internal and external communication;
  • May be required to work somewhat independently and exercise initiative in applying rules, procedures and instructions. Must be able to manage diverse assignments in a timely manner.
SUPERVISION & BUDGET AUTHORITY
This position has no supervisory authority. This position has no budgetary authority.
Physical Environment and Requirements
All library staff members work in public areas of the library, including the service desk, stacks, library workrooms/offices, faculty offices, and other parts of the Conviser Law Center. May occasionally be exposed to typical library pollutants (including dust, mold, and mildew). Requires extended periods of sitting in front of a computer and performing repetitive tasks. Must be able to lift a minimum of 25 pounds and perform occasional light labor, including shelving books, pulling material off shelves, packing/unpacking library materials, pushing and pulling loaded book trucks, etc.).

Key Responsibilities


Key Responsibility
Support acquisition of new and ongoing resources using the university’s enterprise system (Banner/BuyIt) to create purchase requisitions, submit invoices for payment, track status of payments, and reconciling discrepancies with Accounts Payable. Work with approvers as needed to answer questions and facilitate the timely payment of the library’s invoices.

Key Responsibility
Support internal tracking of item and title level expenses by creating purchase orders and posting invoices in the library’s catalog system (Alma). Maintain data on expenditures and cost over time for subscriptions, providing reports as needed.

Assist patrons with directional and procedural questions in person, on the phone, and via email. Process and circulate materials through library systems following established guidelines. Maintain the security and appearance of the Law Library by following established opening and closing procedures and working with building security.

Assemble and compile statistical information and data for reports, studies, and other purposes following established methods; attend training sessions, provide feedback, and assist co-workers and other library employees with library duties. Other duties as assigned.
