Position Summary and Duties
This Accounts Payable Specialist will analyze invoices and expenses, and make payments in an accurate and timely manner. Provide customer service to internal and external customers. Assist with specific banking functions as they relate to Accounts Payable. The position works directly with the Assistant Director of Accounts Payable and Senior Accounts Payable Analyst.
Job duties include:
· Process Accounts Payable invoices, check requests and travel reimbursements for the University. Ensure that all requests comply with the University’s Policies and are processed accurately and in accordance with the departmental guidelines.
· Assist with the administration of the University’s Procurement Card Program to include the set up of new accounts and maintenance of existing accounts. Review monthly statements from the University’s p-card account holders to ensure compliance with the University’s policies and auditing requirements.
· Assist with the set up of new vendors to include W9 compliance, EIN / SSN verification with the IRS and ACH set up.
· Effectively support and build relationships with personnel throughout the University. Provide quality customer service to the University’s external customers. Respond to all customer inquiries, requests and problems in a timely manner. Research customer statements and work with the vendor or department to resolve any outstanding balances.
· Assist with the year end close, 1099 reporting, and State of Maryland escheatment process. Work with the University’s purchasing system to be able to process invoices and other functions related to the purchasing system.
Office hours are typically Monday through Friday 8:30am to 5pm, with 1 hour for lunch.
Required Qualifications
- High school diploma or GED required
- 3 – 5 years of experience in Accounts Payable.
- Excellent communication and organizational skills with attention to detail. Math skills and basic accounting knowledge.
- Ability to plan & organize, establish priorities ad meet deadlines.
- Versatile, adaptable and willingness to learn new processes and systems.
- Thorough knowledge of Microsoft Office and integrated database programs, preferably Workday.
- Strong customer service skills and the ability to function effectively as part of a team.
- Must be able to support the University’s Mission, Vision and Values.
Preferred Qualifications
- Associate’s or vocational/technical school degree preferred
