Job Summary

Please note: this is a grant-funded position that is dependent on the availability of grant funds.

Process stipend payments for Army Educational Outreach Program (AEOP) grant participants, graduate research assistant, and other participants.  Assist with testing new enhancements and efficiency improvements for the ERP platform as they impact Accounts Payable. Deliver excellent quality service to students, staff and faculty as well as external customers.
Please note: occasional overtime and weekends may be required. 


Job Responsibilities


Major Responsibilities

  • Process payments for Army Educational Outreach Program grant stipends including validate eligibility, determine appropriate tax treatment, validate supplier set-up, complete Oracle AP entry utilizing ADI, and complete IRS Form 1099/1042 tax reporting. Act as the first line of contact with students, departments and Sponsored Programs Accounting (SPA).  Assist with other stipend/student prize payment process as warranted.
  • Serve as liaison for student 1099/1042 collection, student banking needs, and income verification requests.
  • Process annual Project Lead the Way grant payments to participating K-12 schools within the RIT program.
  • Test new releases/patches for ERP platform enhancements and upgrades, including maintaining test protocols and performing transaction testing prior to implementation.
  • Audit departmental entries on a biweekly basis.  Maintain accurate records reflecting stipends paid, duplicate entries, and resolution.
  • Perform various tasks to support the monthly, fiscal year-end and calendar year-end close processes including processing accruals, assisting with Form 1099s, etc.
  • Act as backup for new supplier onboarding and set-up in the ERP platform.   
  • Provide technical support to students, faculty and staff for accessing GLACIER, PaymentWorks, and Oracle applications including Research Assistants/Participant Payments.
  • Participate in annual Management Self-Assessment (MSA) and other projects as assigned by management.
  • Make recommendation for changes to documented procedures as necessary.
  • Participate in a minimum of 30 hours of training/professional development annually.  Training must be applicable to the employee’s role current within the Controller’s Division with the intent of enhancing overall knowledge as well as the specific skills, whether functional or technical, required to perform successfully in the position. 

Skills:

  • Must be organized, work efficiently and have a strong customer service orientation as well as excellent communication skills (written and verbal).
  • Must pay close attention to detail resulting in a highly accurate work product.
  • The successful candidate will be a self-starter and will have demonstrated initiative in a similar work setting, including trouble-shooting situations requiring corrective action as well as formulating and implementing solutions.
  • Must exercise sound professional judgement in the execution of all responsibilities.
  • In addition, must possess a high energy level and exceptional organizational skills and have the ability to interact with individuals throughout the organization.

Key Relationships: Students, Payroll, Student Employment, Accounting Operations, SPA, SFS, Information Technology Services, and departments responsible for submission of AEOP & participant payment requests.


Required Qualifications

  • AS Business Administration or Accounting and/or equivalent combination of education and relevant experience.
  • Four to five years applicable accounts payable experience in a high volume setting 
  • Experience with an enterprise-wide financial applications software system, Adobe DC, and Microsoft Office including Access, Excel and Word.

Preferred Qualifications

  • Bachelor's degree 
  • Knowledge of generally accepted accounting principles, federal and state tax laws including, IRS Form 1099 and 1042-S requirements
