Job Summary

The Accounts Payable & Travel Specialist II position is primarily responsible for timely and accurate processing of employee non-payroll payments and related activities.

 

Major Responsibilities/Duties/Critical Tasks

  • Data entry responsibilities may include but not limited to travel reimbursement vouchers, direct bill invoice payments, non-vendor refund payments, and team travel cash advances.
  • Responsible for processing assigned travel expense reimbursements or “My Wallet” travel credit card payments and in resolving related accounting or audit issues.
  • Responsible for processing assigned invoices accurately and timely to ensure proper matching of documents, validation of chartfield numbers to ensure proper distribution to general ledger expense accounts, timely and accurate payments in accordance with the texas prompt payment act.
  • Responsible for supporting campus travel management needs to include but not limited to processing non-employee setup for expenses, approving new travel system users, monitoring, and managing outstanding travel authorizations, approving airfare requests.
  • Responsible for processing payment request forms, travel reimbursement vouchers, accounting team or Business Affairs team travel documents and provide support for related payables duties.
  • As assigned, responsible for reconciliation of student travel or grant-related travel cash advances, my wallet travel card balances, and travel authorizations.
  • as needed, serve as backup to the credit card coordinator or other payables staff during co-worker absences and periods of high volume.
  • As assigned, responsible for releasing foreign wire payments, processing stop payment/void actions in system and/or reissuing related payment for lost checks or ach returns.
  • Assist as needed or scheduled with training university staff on applicable accounts payable and travel policies, procedures, and use of the automated accounting system.
  • Attend meetings, training, and/or conferences as related to functional duties.
  • Perform other duties as assigned.

 

Required Education/Experience

  • High School Diploma or equivalent.
  • Two (2) years of accounting, bookkeeping, or related experience.

 

Preferred Education/Experience

  • Accounts Payable and/or Travel Expense Processing.
  • Peoplesoft system accounts payable and/or travel expense experience.
  • Degree in a business-related field.

 

Accompanying Knowledge, Skills, Abilities, and Competencies

  • Thorough knowledge of and ability to quickly learn applicable laws, codes, regulations, standards, policies, methods, and practices related to accounts payable and travel management.
  • Ability to work independently and take initiative with assigned duties.
  • Excellent verbal and written communications skills required for working with the financial services team, related coworkers, employees, and administrators.
  • Ability to provide high-quality customer service and maintain these standards for the accounts payable and travel functions.
  • Ability to keep detailed records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable and/or required formats.
  • Advanced computer skills including use of software programs used in the accounts payable and travel functions or in conducting data analysis and reconciliations for example.
  • Ability to identify transaction related problems, collect and analyze data, establish facts, perform thoughtful interpretation, draw valid conclusions, and propose appropriate courses of action.
  • Ability to work collaboratively with coworkers and functionally related teams.
  • Ability to work with confidential and sensitive information with discretion.

 

Other Information

A remote work schedule may be available for this position in accordance with UT Tyler HOP 4.1.16 Remote Work Arrangements .  A UT Tyler Remote Work Agreement is required upon employment. Use of personal computer and other standard office equipment may be required. Individuals that work remotely may be required to work on campus on an infrequent basis.

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
