Overview

The Department of Physics seeks an experienced professional to administratively support several faculty members and their research groups with day-to-day tasks and assignments. This role will also assist with the administration of the departmentâ™s undergraduate and graduate student programs. This position acts as the interface between the faculty members and the many constituencies with whom they interact including, but not limited to, other University faculty, researchers, departmental students, faculty, and researchers globally with whom they work/collaborate, the Chairs of the department, and other university administrative units. This position is responsible for providing academic, administrative, and research support.

While the detailed responsibilities of this position are numerous and important, the overarching task is to ensure the effective and efficient functioning of the administration of faculty affairs for the research groups supported.


Responsibilities
  • Provide general administrative support duties for assigned faculty and their research groups.
  • Make faculty and guest travel arrangements and process reimbursement requests.
  • Assist students traveling to and from remote research laboratories with registration and travel arrangements.
  • Maintain and reconcile monthly travel and expense credit cards, as well as invoice expenses.
  • Scheduling assistance, which includes managing calendars, appointment requests and meeting space reservations.
  • Plan and schedule multi-day conferences, receptions, seminars, meetings, and other departmental events (including, but not limited to, pre- and post-event preparation, setup, and cleanup). This may include a limited number of weekend, holiday, or evening hours.
  • Write and edit reports, letters, and other material including the departmental newsletter and other correspondence.
  • Conduct electronic searches using libraries on campus to search for, request and download journal articles, publications and books.
  • Prepare and send correspondence (ex. letters of recommendations) on behalf of faculty.
  • Assist faculty with research proposals, submission of papers for conferences and working with outside companies.
  • Organize/maintain electronic and/or paper files and records.
  • Update websites for faculty and their research groups.
  • Support the graduate administrator with admissions materials, financial activities, events (such as FPOs and Open House), general exams, and related graduate matters.
  • Support the undergraduate administrator with course materials, financial activities, exams, events (such as Class Day and the Academic Expo), SAFE, and related undergraduate matters.
  • Additional tasks may be assigned as needed to respond to departmental priorities.

Qualifications

Essential Qualifications:

  • Minimum of 2 years related experience.
  • High school diploma or equivalent experience.
  • Excellent organization and planning skills.
  • Detailed-oriented with a proactive approach.
  • Demonstrated ability to multi-task, prioritize and work independently.
  • Possess strong communication and interpersonal skills (written and verbal); convey process and policy information accurately and professionally.
  • Proficient in Microsoft applications, including Outlook, Word, Excel, and PowerPoint.
  • The final candidate must exercise discretion and good judgment.

Preferred Qualifications:

  • Experience working with faculty in a higher education environment.
  • Experience with PeopleSoft and Concur software applications a plus, but not required.
