Job Description:

This position will play a critical role in supporting the Department of Health Outcomes and Biomedical Informatics (HOBI) Education Office. The Education Office consists of 2 faculty members (Associate Chair and Associate Director) and 1 staff member (Assistant Director).

As the department is currently growing its educational offerings, the Coordinator of Academic Services will support activities in marketing and recruitment for our programs, with a priority on our certificate programs. This includes 4 graduate certificate programs: 3 existing programs (1 in Biomedical Informatics, and 2 versions of Implementation Science). The position holder will serve as the first point of contact for potential students through the education office’s main email address. As such, success in this position will require excellent customer service skills, serving as a public contact for the programs.

The Coordinator will take the lead role in coordinating all certificate students from admission to graduation. This will include participation in recruitment efforts, including (but not limited to) email correspondence, virtual events, digital communications, multimedia, web presence, and marketing campaigns. The Coordinator will collaborate with the supervisor to design and maintain recruitment materials and will work with the HOBI Communications Office to update department web pages related to graduate recruitment. The Coordinator will also work in UF’s SIS and Slate to process student and course-related updates and changes, including registration, grade changes, and program certification. Creating and maintaining accurate records about certificate student admission, retention, and graduation will be on-going.

The Coordinator will provide support for instructors teaching certificate courses, including providing administrative support for working with instructional designers and liaising with adjunct instructors.

Duties Include:

Aid in student recruitment and admissions process for HOBI certificate and degree programs

  • Respond to student inquiries
  • Assist in developing recruitment marketing and logistics for recruitment events (online Zoom events, on-site recruitment at conferences)
  • Monitor HOBI-Education inbox
  • Assist in coordinating admissions processing for PhD, Master’s, and certificate programs
  • Work with Student Recruitment and Admissions Committee and HOBI Communications Office to execute recruitment events (virtual and in-person)
  • Collaborate with HOBI Communications team to maintain HOBI Education brand identity and updates (web, print, social media, email contact)
  • Create certificate-specific web resources for each program and for targeted courses

Coordinate student services and academic program support for certificate programs

  • Process applications, student registration requests, grade change requests, graduation processes for certificate students
  • Maintain recordkeeping and progress tracking for certificate students
  • Aid HOBI faculty with online coursework needs and relevant resources for certificate programs

Administrative support for the Education Office

  • Education Committees scheduling and coordination (minutes and agendas, scheduling)
  • Participate in organizing and hosting events for students (including Fall graduate student orientation, Fall/Spring semester breakfasts, Fall new student welcome, HOBI Education Day, Hackathon, and Grand Rounds)

Assist with departmental academic support activities

  • Support student services for HOBI Education Office, for admission, registration, retention, and graduation processes
  • Monitoring degree program student progress and funding documentation, including research contracts and supervisory committee details
  • Scheduling courses and identify relevant course resources

Expected Salary:

$44,000-$52,000; commensurate with qualifications and experience

Minimum Requirements:

Bachelor's degree and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

5 years of related working experience

Passion for working with students

Experience using SLATE, GIMS, Microsoft Office, UF SIS, Adobe, Docusign, Qualtrics, and Canvas

Foundational experience with educational programs and marketing (digital marketing, recruitment campaigns, and other related concepts)

Experience handling confidential issues diplomatically and with discretion

Sound judgement and decision-making

Strong organizational skills with attention to detail

Ability to work both independently and collaboratively in a team environment

Effective verbal and written communication skills with individuals at various educational levels

Strong interpersonal skills
