We are seeking a Academic Program Administrator who will serve as management and leadership support for the Center of Leadership Education (CLE) and oversees the daily administration of our complex academic programs including the Master of Science Engineering Management (MSEM) Program and the Masters in Global Innovation and Leadership (MSIL) Program.


This position will include extensive internal and external interaction with faculty, staff, students, participants, and other collaborators of the CLE, in addition to working collectively with the nine Whiting School of Engineering (WSE) academic divisions to drive new enrollment growth. The ideal candidate is expected to maintain a high degree of professionalism, exercising excellent administrative judgment, and maintaining responsibility for quality of service to the student experience.


Specific Duties & Responsibilities

  • Administrator and program manager for the MSEM and MSIL cohort; manages administration of the program from applications to graduation; review 600+ incoming applications; coordinate the interviews of 200+ prospective students; update check sheets, email potential students, maintain records and data for applicants and current students, apply CLE matrix for approval of accepted students; maintain/review records and data for 70-90 current students to ensure they have met program requirements. Enter decisions in Slate and keep track of admissions decisions and financial aid information for the graduate programs; oversee notification to admitted and non-admitted students.
  • Responsible for tracking and approving Designated Graduate Aid (DGA) for graduate students and advising them on status of their financial aid. Keep Administrative Manager informed on cost of aid for budget purposes; keep record of the Expected to Graduate List (ETGL), sign OPT and CPT forms; submit degree conferrals for all graduating master's students; serve as the liaison between MSEM and technical track advisors.
  • Work collaboratively with program directors on recruitment strategies for the growth of the programs. Develop, implement, and manage proposed academic and student related strategic goals, objectives, and policies; consult with and advise the program directors on changes to academic and student policies and procedures.
  • Supervise and coordinate cohort of 80+ students for the CLE Immersion Program. Key decision maker for selecting and managing travel to six different destinations, including Israel, Portugal, Spain, Denmark, London and the Baltimore/Washington area.
  • Plan and manage graduate events, including Boot Camp, teambuilding, holiday and graduation celebrations. Participate in the completion of administrative activities, projects, surveys, website maintenance.
  • Collaborate with Sr. Communications Specialist on website content for recruitment and exposure of the master's programs including ideas for targeting students, alumni, and external stakeholders. Includes graduate program information materials i.e., brochures and digital versions to promote curriculum and academic courses.
  • Meet biweekly with the Director of Employer Engagement in the Life Design Lab; discuss student employment needs and goals; help organize networking opportunities for the students.
  • Attend GPAAC meetings; attend Master of Engineering Management Programs Consortium (MEMPC) and submit data to MEMPC. Active leader and participate in MEMPC meetings and GPAAC Subcommittee.
  • Communicate with students on pertinent information (academic policies, health insurance, probation, etc.); maintain alumni database and connect current students with alumni; create and update database with over 500+ alumni.
  • Collaborate with adjunct and full-time faculty to schedule classes, distribute class rosters, provide academic support, and assist with course scheduling, production and maintenance; submit updates and changes to the Office of the Registrar; increase enrollment by strategically promoting courses; Update the website and course catalog to reflect changes to required coursework.
  • Work with distressed students, sounding board and point person for students regarding academic and financial concerns. Working collaboratively with other university departments on resolutions of problems to enhance the success of student while with Johns Hopkins.


Level of Independent Decision Making

  • Duties are varied in nature, requiring the solving of both commonly encountered and unique problems.
  • Exercise administrative judgment on a regular and continuous basis and assists the Program Directors and Administrative Manager in determining departmental and program priorities and policies.
  • Assume responsibility for decisions, judgments, and procedures and follows through to meet scope of responsibilities.
  • Work is guided by the university's policies, established strategies, and plans, normally subject to program directors and senior management guidance with periodic review of goal achievement in relation to agreed-upon strategies.

  • In depth knowledge of university academic policies and procedures.
  • In depth knowledge of departmental and financial regulations and policies.
  • Excellent oral, written and interpersonal communication skills.
  • Knowledge of the theory and practice of teaching and program issues.
  • Knowledge of both college and pre-college education in relation to curriculum design, instruction, assessment and professional development.
  • Proficiency with MS Office applications, WordPress, SIS and Slate.

Minimum Qualifications
  • Bachelor's Degree.
  • Three years progressively responsible experience in program administration in an academic environment.
  • Additional education may substitute for required experience and additional experience may substitute for required education to the extent permitted by the JHU equivalency formula.

Preferred Qualifications
  • Master's Degree in a related field.
  • Five years progressively responsible experience in program administration in an academic environment.

Starting Salary Range: $47,500 - $83,300 Annually (Commensurate with experience)
