DEPARTMENT OVERVIEW

The Division of Physical & Biological Sciences at the University of California, Santa Cruz is a global engine of high-impact science and student research experiences. The division includes nine academic departments and several other research institutes that are at the forefront of cutting-edge advances in research and teaching. The Academic Personnel/Payroll Unit within the division is responsible for all functions of academic personnel administration for faculty, students, and researchers, including appointments, payroll, and visa processing.

JOB SUMMARY

Under general supervision, the Academic Human Resources Analyst will be responsible for a range of tasks supporting employment and accurate pay for academic employees in the Division of Physical and Biological Sciences, with a particular focus on academic students, non-senate researchers, and postdoctoral scholars. The incumbent coordinates the appointment and advancement process, including visa procurement; enters, monitors, and maintains academic employee job records in divisional, campus, and centralized HR systems; and ensures that transactions comply with personnel and payroll policies, business procedures, and collective bargaining agreements. This position regularly interacts with department chairs, department managers, budget analysts, individual students, faculty, and researchers, the Division of Global Engagement, Academic Personnel Office (APO) staff, and other central campus staff and administrators.

 

APPOINTMENT INFORMATION

Budgeted Salary: $33.53 - $38.32/hour. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

25% - Student Employment

  • Monitors, analyzes, and maintains student employment; coordinates with principal investigators, graduate advising staff, and budgetary research analysts to ensure accurate and timely pay for students each quarter.

25% - UCPath Transactions

  • Processes transactions in the University of California Payroll Human Resources (UCPath) system, including position management, hires, personnel review outcomes, leave absences, and terminations. Analyzes and resolves discrepancies; prepares appropriate documents for transactions; adheres to published deadlines for online entry updates.

20% - Appointment/Advancement

  • Facilitates/manages the academic review process, identifying issues relating to policy and compensation. Collaborates with and guides department managers, department chairs, principal investigators, and budgetary research analysts regarding academic personnel and pay actions, ensuring consistency with University policies and divisional practice and precedent.

10% - General Inquiries

  • Provides resources to and advises supervisors and employees on academic personnel and payroll topics such as employment, paychecks, benefits, personnel policies and procedures, and collective bargaining agreements. Provide general support to the unit; participate as a member of a team, serve as backup to others in the unit during peak periods and as needed.

10% - On-boarding

  • Initiates on-boarding and associated employment paperwork following divisional, campus, State, Federal, and UC system-wide policies and procedures; prepares and maintains materials necessary for the on-boarding and off-boarding processes.

5% - Time and Attendance

  • Audits monthly and biweekly timesheets (electronic and paper); analyzes, interprets, and accurately applies time and attendance policies; analyzes and resolves time and attendance discrepancies; prepares and processes any related salary adjustments.

5% - Visa Coordination

  • Analyzes and interprets guidelines and policies to provide advice and counsel to unit clients on work-eligibility (visa) issues such as J-1 and H1-B processing or PR application. Monitors work authorization end dates to ensure compliance.

 

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Organizational and time management skills to independently track activities, set priorities, and manage frequent interruptions and competing deadlines.
  • Problem-solving and analytical skills, with the ability to think critically and recommend solutions within established guidelines.
  • Strong verbal communication skills.
  • Strong written communication skills and attention to detail, ensuring assignments are completed with accuracy.
  • Strong mathematical skills, sufficient to calculate payments accurately.
  • Interpersonal communication and customer service skills.
  • Ability to interpret and apply complex policies, exercising flexibility and good judgment.
  • Ability to exercise diplomacy and discretion.
  • Ability to recall, retrieve, and communicate detailed information quickly, clearly, and accurately.
  • Knowledge of common office software applications and/or the Google applications suite, calendaring tools, and/or other similar programs.

 

PREFERRED QUALIFICATIONS

  • Understanding of general human resources practices, bargaining contracts, and the University of California procedures and policies that govern academic personnel and payroll.
  • Knowledge of a human resources management systems, and/or other related business software, programs, databases, or systems.

 

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate has the option to work a hybrid work schedule. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
