General Summary

Degree Plans and Advising – Accesses student records and prepares and distributes official degree plans for all Social Sciences majors. Maintains confidential records for all students, documenting progress toward completion of degree requirements. Handles academic inquiries from faculty and students, substitutions, changes of major, and letters of intent or completion. Maintains and updates coding of the degree audit system. Responsible for working with programmers for feature requests and troubleshooting applicable software systems. Graduation – Receives online applications and verifies degree completion. Organizes commencement ceremonies for all undergraduate applicants in the College. Orders and mails out diplomas. Training – Provides periodic and ongoing training for new and existing faculty advisors.

Responsibilities:

  • Provides support for faculty advisors and program chairs, and supports the undergraduate programs organization, collection, and documentation of required reporting items. 
  • Manages communication with students, and faculty.
  • Provides academic advice and guidance to undergraduate students.  
  • Advises students with academic, probationary, and financial concerns and determines possible courses of action.
  • Submits documentation for add/drops, withdraws, and change of curriculums. 
  • Prepares academic and advising reports.
  • Provides support for students & family through communication, filing, collaboration, and record-keeping as needed.
  • Develops and revises informational material for handbooks
  • Provides academic advising for current and prospective students
  • Monitors academic progress and implements intervention strategies for student who receive academic alerts or who need assistance in maintaining or improving their academic standing.
  • Manages/coordinates advising for students and actively seeks to identify individual, organization, and environmental conditions that foster or inhibit student success.
  • Other duties as assigned.

Necessary Qualifications:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience
  • 1 year of related experience working with higher education curriculum, academic programs, or student support programs or equivalent work. 
  • Proficient at MS Word and Excel; understanding of database management; adept at software administration, degree planning, and degree audits.
  • Ability to work in a busy environment.
  • Ability to work with sensitive information and maintain confidentiality. 
  • Ability to work independently once given a project.
  • Essential to be able to think critically, problem solve, and provide recommendations for process improvements and new initiatives.

Preferred Qualifications:

  • Master’s degree
  • Three years of experience in higher education
  • Experience using Colleague system and Informer reporting software
  • Ability to multitask and work cooperatively with populations of students, faculty, staff and stakeholders; function well in a team environment; exhibit professionalism.
  • Excellent written communication, analytical, interpersonal, and organizational skills.
