Academic Advisement Assistant

Required Qualifications: (as evidenced by an attached resume)
Bachelor’s Degree (foreign equivalent or higher). One year of full-time experience working with students in an academic setting. Highly proficient professional experience in: word processing, spreadsheet management, electronic messaging and internet applications.
Preferred Qualifications:
Master’s Degree (foreign equivalent or higher) in higher education, student affairs, social work, counseling or related discipline. Experience in academic advising, working with undergraduates. Experience working with an engineering student population and/or knowledge of engineering disciplines. Experience coordinating programs and/or events. Experience supervising students. Experience creating and hosting academic success or wellness workshops or training. 

Brief Description of Duties:
The Academic Success Advisor provides academic advising to undergraduates in the College of Engineering and Applied Sciences (CEAS) and coordinates efforts that support student academic success goals. The advisor provides high quality proactive academic advising; develops realistic academic road-maps to graduation with students; helps students navigate the University; refers students to other relevant advising departments; and connects students to appropriate campus support resources. The advisor assists with retention-related tracking, reporting, and outreach to support students toward graduation. This position is an active leader and participant in assisting with the orientation and registration process, planning events and activities throughout the year, developing and implementing advising success strategies for students in academic jeopardy, and building connections with faculty, staff, and student constituents. The successful incumbent will work independently as well as part of a team with a collaborative approach to problem solving. They will have strong organizational and time management skills with exceptional attention to detail.

  • Academic Advising: Provide high quality, proactive and timely advising to students in the College of Engineering and Applied Sciences (CEAS). Interpret University policies and procedures and advise students on: academic deadlines, petitioning for academic exceptions, academic standing, major entry requirements, degree requirements and other academic matters.  Develop strategies for student success either individually or in a group setting.
  • Student Success Initiatives: Support CEAS student success by identifying factors that affect student wellness and devising interventions, activities or workshops to address these factors. Support the wellbeing of CEAS student leaders including meeting one on one and in groups with CEAS peer mentors and mentees. Work with campus partners to create ongoing training for CEAS peer mentors and student leaders.
  • Retention Support: Coordinate the semesterly review of AOI students to ensure students are making progress towards major declaration. Devise communication strategies and timelines to provide students with resources to support their successful degree completion. Actively follow up with students who need high-level support based upon academic progress and/or who do not achieve particular benchmarks, including timely semester enrollment, satisfactory GPA, credits earned, declared major, major progress, and general education progress. Help students develop meaningful educational plans that are compatible with career and life goals, including selection of appropriate courses and interpretation of institutional requirements toward established goals. Devise and implement communication strategies for CEAS students via CEAS and AOI Brightspace pages, including but not limited to academic and experiential learning opportunities, academic requirements and deadlines.  
  • Divisional Support: Assist with the planning of large-scale CEAS events and traditions. Participate in various University programs and services as well as those offered by the CEAS Undergraduate Student Office including campus events and special events, Admissions open houses/receptions and Admitted Students events. Participate in transfer and freshman new student orientations. This includes, but is not limited to, utilizing a strong command of programmatic requirements to make course recommendations for enrollment and evaluating transfer courses. Some nights and weekends required.
  • CEAS Tutoring Program Administration: Recruits, hires and trains top students to serve as tutors for math, physics and select engineering courses each semester. Evaluate tutors, as well as perform ongoing assessment of the tutoring program. Work with academic departments to obtain course material and develop tutoring curriculum. Responsible for approving the tutor's timesheets.  Monitors tutoring sessions for quality control. Responsible for maintaining and updating CEAS tutoring website, identifying and updating additional resources to support classroom learning for CEAS courses.
  • Major/Minor Admission: Responsible for evaluation of applications for declarations of majors and minors for CEAS undergraduate programs. 
  • Other duties or projects as assigned as appropriate to rank and department mission.

Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
In addition to the employee's base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.

Evening and weekend work will be required at times.
