Job Description:

FMLA/Leave Management and Tracking

Serves as the BA HR services liaison between employees and department contacts for BA concerning FMLA / LOA.   Reviews and evaluates confidential documentation and determines whether the information provided meets the criteria established by federal FMLA law, whether further information or clarification is needed from the health care provider, or if further guidance is needed from the UFHR-Central Leave Administration or Associate Director.  Provides guidance for staff in person, by phone or through written communication regarding their rights and responsibilities when taking leave protected under the FMLA.   Communicates clearly and accurately, while maintaining confidentiality of information for BA.
Monitors leave of absence (LOA) requests by maintaining accurate, update records, which allows for a more efficient process by providing access to important information and statistics.  Generates and reviews various reports and performs basic review and audit functions to ensure consistent practice of FMLA, Fair Labor Standards Act (FLSA), and UF time and leave policies within the University, and assists department contacts in maintaining accurate records.  Proactively contacts departments to determine return from leave of absence date, extension of leave of absence, or separation of employment.  Creates and presents reports for Associate Director to ensure compliance and consistency of FMLA.  Actively participates in the development, update, and presentation of training programs for FMLA and Leave procedures.

Assists with the coordination of the Workers Compensation Modified Duty Program and provides tracking and reporting.   Coordinates with departments to evaluate work restrictions, job duties and possible accommodations for injured employees.

Creates ePAF Actions and processes for all leave of absence status changes, etc. Follows up on all actions to ensure final authorization

UF Engaged Management and Tracking

Is responsible for monitoring UF Engaged to ensure probationary check ins are completed timely and assisting supervisors as needed with the UF Engaged process. Is responsible for the updating, tracking compliance and completion of UF Engaged for BA employees.  Creates and presents reports for Associate Director, Human Resources.

HR-responsibilities Additional HR responsibilities

Assists with BA HR Office phone and office coverage.  Manages office and electronic files.  Routinely updates, scans, and purges files. Ensures that all employee HR files are maintained according to established policy and procedures and federal and state laws. 

Assists BA HR Team with BA HR events as needed.

Employee On-boarding and Life Cycle Management

Assists with recruitment for Business Affairs positions by posting job requisitions, reviewing applications and phone screening applicants.  Performs employment verification's, reference checks, and background screenings.  Assists all new employees (TEAMS, OPS, Student Assistants, etc.) with the hiring and on-boarding process.  Constantly reviews on-boarding procedures to improve the employee experience. Works on special HR projects to enhance the supervisor and employee experience throughout the employee life cycle.

Off-boarding management and General HR support:

Conduct exit interviews and processes separations and reviews the off-boarding experience and makes recommendations for improvement.  Complies with federal and state laws, and University policies, procedures, and regulations.

A criminal background will be conducted.

Work hours are Monday - Friday 8:00am - 4:30pm.


Expected Salary:

Commensurate with experience.

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

EDUCATION & TRAINING

Society for Human Resource Management (SHRM) Certified Professional (SHRM-CP)

KNOWLEDGE: Understanding of the objectives of higher education.

Knowledge of human resource management principles. Knowledge of federal and state employment laws and ability to interpret to ensure compliance.

SKILLS: Excellent human relations skills.  Skill in dealing with a diverse range of topics, including confidential and sensitive information. Skill in Microsoft Office Suite Software. Excellent administrative skills. Strong customer service skills. Strong organizational skills.

ABILITIES

Ability to work cooperatively and collaboratively with Business Affairs Unit, UF community and stakeholders. Ability to work independently and as part of a HR Team.

Ability to prepare reports and correspondence. Ability to develop and maintain forms, records, and files. Ability to plan, organize, and coordinate work assignments. Ability to review data for accuracy and completeness.  Ability to train others.

Works well under pressure and communicates effectively during highly stressful situations. Effectively manages multiple projects concurrently in a high-volume environment. Proactive, seeks out solutions and follows through on pending items. The incumbent is self-motivated to provide quality customer service to all employees.
