Job Description:

Administrative Support for Division of Clinical Pathology - Provide administrative, research, and teaching correspondence for assigned faculty members. Maintain appointment schedules, coordinate meeting requests for faculty, answer and direct incoming phone calls and messages. Develop materials (e.g., slides, charts, graphs, etc.) for use in scientific seminars, presentations, conferences, etc. Responsible for maintaining and scheduling all monthly and quarterly divisional meetings. Maintain and ensure credentials up to date, including Medical Licenses, along with verifying required CME credits through CEBroker and UF CME office. Coordinate travel using UFGO (accommodations, registration, etc.) for meetings, seminars, public presentations, and conferences for faculty members and related staff, students, and guests. This includes making all travel arrangements, entering travel encumbrance into PeopleSoft, and processing the expense report upon completion of the travel. Responsible for maintaining balances of flex funds for all Clinical Pathology faculty, including details of transactions and keeping faculty up to date with balances. Assists with all P-card transactions and purchasing needed by faculty. Provide IRB support for ongoing studies, including distribution of study, information collection and data entry. Includes Supporting Faculty Candidates: Responsible for scheduling and maintaining travel and accommodations for prospective faculty candidates.

Administrative Support Dental Pathology - Manage meetings to discuss schedule before the summer semester begins, by working with 17 faculty members to make sure they submit handouts and know when they are scheduled and where to go. Work with Canvas to provide the students with the schedule and handouts and download their grades. Work with the faculty to receive test questions and make sure course director has reviewed them. Compile them into a test for submission to ExamSoft. Log into Exam Soft to retrieve exam grades and enter them into Canvas, enter final grades at one.ufl.edu. Schedule and attend a meeting in November to discuss how the course went and how to improve. You will be expected to take notes and provide feedback.  

Electives - Assist Course Directors by scheduling 4th year medical students (from UF and other visiting from institutions) taking electives at the College of Medicine. Electives include: Anatomic Pathology, Autopsy Pathology, Transfusion Medicine, Clinical Chemistry, and Cytopathology. You will be scheduling students along with imputing grades and evaluations within the College of Medicine’s database


Observers - Receive requests from interested observers/faculty members who have been contacted. For International observers you will route to HR. You will work with non-international observers to provide them the required paperwork to observe at UF.

General Department Support - You may be as assigned or requested by supervisor additional department clerical support, including but not limited to: Sorting, screening and distributing incoming mail to faculty.  Maintain all office supplies and equipment orders and ensure acceptable levels are available. Make special orders for furniture, equipment, etc. You may need to run errands and provide other office and clerical duties as assigned. Manage departmental keys. Serve as backup travel coordinator for EP division.

Department Property - Communicate with the faculty, division chief and department administrator on asset transfers. Work with UF facilities to transfer equipment. Complete two annual property reports. You will be required to keep track of equipment, by scanning equipment, and surplus. Places decals on equipment verifying information in property record. Collects and updates inventory information on assets. Updates physical information of property in the University’s Property records or other software and databases used for property management. You will utilize the UF software to generate asset reports as needed.  May transport equipment or property. Respond to basic inquiries.


Expected Salary:

Salary is $20.00 - $23.00 per hour. 

Minimum Requirements:

Bachelor's degree; or an equivalent combination of education and relevant experience.

Preferred Qualifications:

-Sound knowledge and skills for office computer usage. -Organizational skills for office management.


-Sound knowledge of University procedures and policies.

-Initiative and dependability, for task management from start to finish.

-Strong interpersonal skills for interaction with faculty, administrative and support staff, vendors, and the public.
