Job Description:
This position serves as the Clinical Program Coordinator II for the Perioperative Cognitive Anesthesia Network (PeCAN) Alzheimer’s Disease and Related Disorders Program and other assigned studies. Responsible for day to day management of clinical activities, managing patient referrals, discussing relevance of the PeCAN clinical evaluations to patients, appointment scheduling, patient-ability and chart analyses, and coordinating data acquisition in a clinical environment using digital technology.
 
Duties Include:
 
Facilitate day-to-day patient communications and management of clinical operations for the Perioperative Cognitive Anesthesia Network (PeCAN) Alzheimer’s Disease and Related Disorders Program and other assigned studies. This includes:
- Monitoring patient surgical timelines, deadlines for pre-op evaluations, and telemedicine capabilities - Implementing procedures and plans to meet the goals of the PeCAN program
- Coordinating PeCAN patient scheduling, and facilitating project meetings for PeCAN providers and staff to meet maximum number of possible clinic visits per month
- Communicate with Department and University faculty and staff and team members, sponsors, and other external constituencies including service delivery professionals when needed
- Compliance management including insurance protocols for in- and out-of-state patients and telemedicine appointment setups
- Documenting patient complaints and adverse events to provide information to appropriate providers
- Managing digital clock collection with nursing teams and identification in the pre-surgical setting; problem-solving digital clock technologies and files issues
- Providing training to staff regarding EPIC usage, patient appointments, and important shared folders and files - Closely collaborating with faculty, nursing staff, and pre-surgical anesthesia leaders to ensure consistent dissemination of patient clock screeners and accurate referrals to the PeCAN program
- Support providers in the development and growth of the clinic while also supporting research-related clinical cognitive data science
- Building and maintaining professional working relationships across different disciples within UF Health
- Overseeing activities performed by coordinators and nurses associated with PeCAN clinical-related projects - Assisting providers with any referral requests for primary care for patients who see PeCAN
- Troubleshooting with patients who have difficulties joining telemedicine appointments
 
Responsible for coordinating approvals with hospital billing and specific patient insurance plans
- Managing patient pre-authorizations and referrals for PeCAN providers
- Initiating searches using Availity and similar provider portals to ensure patient eligibility and benefits within the clinic setting
- Creating pre-authorization documents for providers to complete after appointment and route to billing department - Calling insurance providers when online services are unclear about patient eligibility and benefits
- Communicating with billing department staff regularly to stay updated on new rules and protocols
- Overseeing the collection of insurance requirements for multiple patients
Research Team Assistance:
- Collecting written and signed Letters of Support to advance study efforts for PIs
- Matching 15,000+ digital pen drawings with de-identified PDF clock tests for REDCap integration and analysis and EPIC integration.
- Participating in research meetings and assisting with grant submission needs on requested basis.
- Collaborating with staff and PIs to problem solve as issues arise to ensure successful study completions
 
Attending meetings, representing UFH PeCAN at conferences, and regularly communicate specific clinic and patient needs with faculty and staff
 
Any other duties, as needed, to fulfill the mission and to abide by the values of the College of Medicine.
 
Create graphic design materials for clinic promotion and informational purposes.
Expected Salary:

$53,000 - $56,000

Minimum Requirements:

Bachelor's degree in in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:
Applicant must have experience with developing rapport with older adults in a fast paced preoperative environment.
Applicant must help collaborate on grants to study cognitive decline in older adults.
Applicant must understand the importance of cognitive decline in older adults as it relates to the rising issue of public health and be able to create promotional material about this rising issue to relay to the public and relevant medical professionals.
